Operations and Maintenance Assistant


Job description

To be an active member of the General Assembly’s staff team, contributing to the effective administration of its functions. Under the direction of the Operations and Maintenance Manager, assist in the management, maintenance, operation of the office, conference and retail stores comprising of Assembly Buildings and Fisherwick Buildings in a manner that ensures the safety and security of the complex in a manner in keeping with the Christian ethos of the Presbyterian Church in Ireland. .

Responsibilities

  • To provide administration support to the Operations and Maintenance Manager as delegated.
  • To set out halls and rooms with chairs and tables for PCI and external conferences and meetings and check the layouts of conference and meeting rooms daily as per the event calendar.
  • To set heat and air conditioning daily timings on a weekly basis under the direction of the Operations and Maintenance Manager.
  • To operate equipment for internal PCI meetings conferences and events when required.
  • To work with the Operations and Maintenance Manager and provide support on all Health and Safety legislation for Assembly Buildings.
  • To undertake maintenance tasks and duties, as designated by the Operations and Maintenance Manager.
  • To maintain the cleanliness of the service yard to a high standard at all times and ensure that the said service yard is kept clear of obstructions and that the designated refuse collection areas are kept controlled and tidy.
  • To ensure that all waste bins in the service yards are emptied as necessary, but no less frequently than daily.
  • To check weekly and report any damage/repair necessitated to plant, machinery or fabric of the Building, including the service/common areas, to the Operations and Maintenance Manager.
  • To check the roof camera systems and outside drains on a daily basis for any potential issues and report to the Operations and Maintenance Manager.
  • To conduct required tests and maintain proper records of tests on all emergency equipment e.g. fire alarm system.
  • To comply with all current PCI Health and Safety requirements throughout the buildings complex, and to refer any queries to the Operations and Maintenance Officer.
  • In conjunction with security personnel, to lock and/or unlock the Assembly Buildings entrance doors as required.
  • In the absence of the Operations and Maintenance Manager, to be responsible for the overall security of the Building.
  • To ensure familiarity with all the Buildings current evacuation procedures, together with all related fire alarm systems and assist in any evacuation.
  • To participate in rotas as appropriate for on call coverage for the alarm systems.
  • To dispatch mailings, including the packing and labelling of items, and to deliver items received to the appropriate department, as and when required.
  • To maintain a Log/Incident book, together with an Accident Book.
  • To cover out of normal business hours conference and events for Health & Safety as delegated by the Operations and Maintenance Manager.
  • When required to assist in front of house cover as allocated by the Operations and Maintenance Manager.
  • Any other duties that are deemed appropriate to the position, including additional duties with regard to external conferencing and events.
  • Under the management and delegation of the Head of Conferencing & Operations cover the work of the Operations and Maintenance Manager in their absence.
  • To assist the Operations and Maintenance Officer as required.
  • To undertake such training as may be required for the efficient performance of the above duties.
  • To comply with all PCI policies and procedures, including the Equality of Opportunity and Health and Safety Policies.
  • To participate in personal and professional development activities as required.
  • To contribute to the overall organisational effectiveness and to perform any other duties as deemed appropriate by the Head of Conferencing & Operations in line with the requirements of the General Assembly or the Clerk of the General Assembly.

Skills and Qualifications

Essential Skills

  • Minimum of 5 GCSE passes (grades A-C) including English Language, or equivalent.
  • An understanding of relevant health and safety regulations within a working environment
  • Competent in Microsoft Office i.e. Word, Excel, PowerPoint and Outlook.
  • Minimum of 1 years experience of working directly in operations/facilities.
  • Willingness to work additional hours to fulfil the requirements of the position.
  • Willingness to work flexibly as required, including evening and weekend working.
  • Willingness to commit to working within the Christian ethos of the Presbyterian Church.
