Job description

To provide unlimited support, pursuant to the management of the Group. The incumbent shall have a solid understanding of a wide range of administrative and financial processes and possess excellent software skills. This varied role involves lots of liaisons with customers, suppliers, and end-users, as well as many varied ad-hoc projects. .

Responsibilities

  • Batch/input supplier invoices and produce sales invoices on SAGE 50 Accounts
  • Assist with payroll preparations, including calculations of overtime and other ad-hoc
  • Reconcile accounts as required
  • Assist with month-end accounts and preparation for the year-end audit.
  • Maintain the Purchase Order system using Microsoft Excel
  • Administer the petty cash system using both Microsoft Excel and SAGE 50 accounts.
  • Obtain quotes for goods and services, including travel in accordance with financial procedures
  • Scrutinise and check invoices for accuracy, check goods and services have been received
  • Maintain staff expenses/mileage records using Microsoft Excel.
  • Provide administrative support to the Directors
  • Assist with their management of personnel and sub-contractors
  • Maintain computerised databases of the Groups staff, contacts, service providers and other relevant information, as required
  • Establish and maintain filing systems, as appropriate
  • Maintain the overall standard of the office; liaise with cleaning services, keep an equipment inventory of all capital, fixture and fittings, etc.
  • Maintain office equipment and liaise with suppliers regarding maintenance and supplies.
  • Maintain and enhance departmental procedures and processes through the implementation of a continual service improvement programme (CSIP).
  • Undertake any other duties commensurate with the post, as necessary from time to time

Desirable Skills

  • Formal Accounting and/or HR and/or Administration qualification.
  • An appreciation of the I.T. Maintenance and Service industry
  • Payroll processes
  • Track record in similar role within an IT service delivery environment.
  • Project management skills
  • Ability to think strategically and plan for the long-term
  • A willingness to respond positively to the demanding work requirements of an SLA driven service delivery operation.

Further Information

Wage: £20,000-£23,000 per annum pro-rata (dependent on experience) Work time: Hours are flexible
