Administrative Assistant (TBUC)


Job description

The Administrative Assistant position will provide high quality support to the Homes & Communities Team to deliver the Housing for All programme to communities across Northern Ireland. This is a fixed term contract ending December 2025..

Responsibilities

  • To use IT systems to collect and input information to generate and promote the work of the TBUC team: including letters, events, posters, PowerPoint presentations, reports and associated documents including,
  • To provide administration support to the Homes & Communities Team in relation to the Housing for All programme.
  • To carry out surveys as and when required and collate results.
  • To support community organisations to apply for funding and co-ordinate projects in line with the Good Relations Plans.
  • Delivering a great customer service experience, acting in a professional and understanding manner when liaising with external and internal customers in person, on the phone or via written correspondence.
  • To ensure the accurate recording of all expenditure relating to TBUC and produce appropriate financial and statistical information as required.
  • To deal with telephone and correspondence across TBUC activities.
  • To input data onto computerised systems.
  • Prepare monthly reports for senior staff on performance and results.
  • Work with the Senior Administrative agreed periodic reviews of outcomes and develop an action plan for service improvement with timely and accurate monitoring and reporting.
  • To input tenants profiling data and follow through noted issues.
  • To provide administrative support to colleagues when required.

Skills and Qualifications

Essential Skills

  • Hold a Level 2 qualification or equivalent and a minimum of one years experience working in an administrative role in an office environment OR Two years experience working in an administrative role in an office environment.
  • Experience in the proficient use of Microsoft Office applications to include Word, Excel, PowerPoint and Outlook (demonstrated by examples).
  • Ability to design, produce and distribute event information.
  • Experience of using a Management Information System to input and retrieve data and produce reports.
  • Experience of taking minutes, typing letters, maintain a busy calendar and updating of spreadsheets.
  • Hold a current full, clean (preferably) driving licence with use of a private vehicle for business use, or, in the case of having a disability, be able to demonstrate how they meet the mobility requirements of the post.

Further Information

Work time: Monday to Friday 8.45am - 4.45pm.
