Admin Support / Reception Support
Job description
The Employer is: DOVE HOUSE COMMUNITY TRUST. Duties will include: To organise and maintain the reception area and ensure a safe, comfortable and welcoming environment. To process, distribute and log incoming and outgoing mail, and ensure outgoing mail is posted at the end of each working day. Screen all incoming calls and be responsible for messages being communicated to the appropriate person. To record and maintain appointment diaries for relevant staff. Respond to any administration requests given by Dove House projects including letters, reports, and submissions as required. To process all photocopying required by staff and/or the public and to keep a record of such. To keep a daily record of people utilising the building and ensure bookings of rooms are recorded in the diary. Record bookings for Dove House equipment such as minibus/catering equipment etc.
Responsibilities
- To monitor and respond to emails and voicemails.
- To enquire on and keep records of weekly up to date oil prices.
- Be a responsible key holder, ensuring all offices are locked at the close of play each day.
- Carry out purchase orders for stationary and stamps for the whole building.
- Take minutes at weekly staff meetings and distribute.
- Update Dove House notice board, monitor, social networking sites and website.
- Prepare all documentation prior to Dove House management meetings.
- Be responsible for any recruitment process within Dove House, ensuring all recruitment packs distributed are recorded and maintained correctly.
- To participate in any training required by the management.
- To carry out any other reasonable duties within competence required by the Manager or Dove House Management.
Skills and Qualifications
Essential Skills
- Applicants should have at least 5 GCSEs including English and one year experience of working in a busy office environment during the past three years.
- Demonstrated proficiency in Microsoft Office.
- Excellent communication and listening skills.
- ICT literate.
- Good interpersonal skills.
- Proven excellent organisational skills.
- Ability to work under on own initiative and under pressure.
Desirable Skills
- Experience of working within a community development context.
- Basic knowledge of Welfare Rights (not necessary as full training will be given).
Further Information
Although this is a part-time temporary opportunity, hours may be extended and it could lead to a permanent position. The job advert may end before the closing date if requested by the employer.
