Box Office and Marketing Assistant
Job description
The Employer is: NI SCIENCE FESTIVAL. As Box Office and Marketing Assistant, you will be assisting the Festival team in marketing and promoting the festival, acting as contact point for box office enquiries and assisting with festival events and helping to deliver the festival.
Responsibilities
- Marketing and audience development: To support the Marketing Manager in the delivery of NI Science Festival's marketing and audience development plan.
- Contributing ideas on how to reach audiences, and develop and promote key messages.
- Assisting with copywriting and proofing of marketing materials and the content creation for social media platforms ensuring high standard of consistency and literacy throughout.
- Maintaining the NI Science Festival social media accounts and website including event listings and linking to online box office.
- Building and completing spreadsheet for NI Science Festival events to be supplied to our box office provider.
- Acting as first point of contact for bookings enquiries and encourage ticket sales for NI Science Festival and other NI Science Festival programmes of activity.
- Responsibility for direct marketing to groups for bookings, liaising with the Education team regarding school attendances.
- Liaising with venues and events managers regarding attendees.
- Helping with planning and delivering of the festival launch as well as festival receptions including organising and distributing marketing collateral and tracking attendance.
- Assisting with the collection and collating of appropriate data across multiple platforms during and post-festival.
- Programme delivery: To support the delivery of NI Science Festival's activity including during the Festival between 13-23 February 2025.
- Provide clerical, administrative, research, logistical and compliance support for the programme.
- Liaise with team, board members, funders, stakeholders, partners, creatives, venues, suppliers and members of the public as needed.
- Provide desktop research assistance for the team.
- Support the collection of data for funder and stakeholder reports.
- Contribute to company evaluation, both internal and external.
- Collaborate and maintain effective working relationships with fellow staff members, freelancers and volunteers.
- Adhere to existing work practices and procedures, and to contribute to the development and respond positively to new and alternative systems.
- Demonstrate commitment to NI Science Festival through regular attendance and the efficient completion of all tasks allocated within the deadlines required and set.
- Adhere to and support the implementation of all company policies and procedures including safeguarding, equality, health and safety, data protection and all others in place from time to time.
- Commit and work to NI Science Festival's strategic aims and objectives.
- Uphold NI Science Festival's values.
- Engage with their own continuous professional development to contribute to the activities, promotion and development of NI Science Festival.
- Take part in required training requirements for the post.
Skills and Qualifications
Essential Skills
- Experience working in a team.
- Professional demeanour.
- Ability to manage multiple tasks efficiently, keep track of event details, and meet deadlines.
- High standard of accuracy in maintaining records, proofreading marketing materials, and ensuring consistency across platforms.
- Proficiency in using social media platforms (e.g. Facebook, Twitter, Instagram) for marketing purposes.
- Good customer service skills and a willingness to work on and improve those skills.
- Time management: Ability to prioritise tasks, manage schedules, and meet deadlines efficiently.
- Ability to work as part of a team and also independently on own initiative.
- Education: GCSE Maths and English at C or above.
- Able to work flexible hours, evenings and weekends when events are being held.
Desirable Skills
- Experience working in the events and festivals sector (in voluntary or paid capacity).
- Experience of box office/sales systems.
- Long term plans to develop a career in the arts, events and festivals sector.
- Knowledge of creative suite websites such as Adobe Photoshop, Canva or other photo/video editing software.
- Qualification in Marketing or relevant subject at A Level or above or working towards it.
- Enthusiasm for science and a desire to engage the public in science-related activities and education.
- Own driving licence and access to a car.
