Curatorial Grade F Public Record Office of Northern Ireland (PRONI)
Job description
The vacant post is currently based with RMCAT. This vacancy covers a range of responsibilities at Curatorial F seeking to ensure the delivery of a high quality, effective and efficient service to members of the public and other stakeholders engaging with PRONI onsite and remotely.
Responsibilities
- Records Management, Cataloguing and Access (RMCAT) duties Sorting, classifying and cataloguing collections including digital records and updating existing catalogues in accordance with international standards and PRONI policies.
- Researching, responding and managing requests for access to closed records which contain sensitive information in accordance with legislation, FOI Act 2000, Data Protection Act, 2018, the Public Records Act 1923 and the Court Files.
- Privileged Access Rules (2016).
- Adhere to and promote NICS policies and PRONI guidelines on working with sensitive information.
- Consult relevant authorities and analyse responses seeking advice and responding as required.
- Coordinating the updating of documentation to support the release of information and records. Responding to written curatorial enquiries and providing advice and guidance to staff responding to written correspondence.
- Liaising with applicants on the progress of requests and making appropriate arrangements for the disclosure of information.
- Research and information gathering in relation to previous decision making, Information Commissioner’s Office decision notices, Tribunal rulings and Court judgments.
- Assist in the provision of Records Management advice to Government Departments, Local Authorities and other Non- Departmental Public Bodies.
- Assist in the appraisal and selection of records for permanent preservation by PRONI.
- Staff line management responsibilities.
- In addition, the successful candidate may be required to work off site on occasion.
- Any other duties appropriate to grade as required by line management.
- Public Services (PS) duties Providing curatorial advice and guidance about PRONI records, access and public services to onsite visitors and staff, and acting as onsite Duty Officer on a rotational basis.
- Responding to written curatorial enquiries and providing advice and guidance to staff responding to written correspondence
- Contributing to the development of a programme of public engagement, including delivery of workshops, talks and group visits as required
- Contribute to the management of legacy and newly digitised images via the Digitised Asset Management System (DAMS) and other channels.
- Support Public Services in the delivery of collaborative projects with colleagues throughout PRONI and external partners.

- Reprographics / Digitisation duties Managing progress of digitisation tasks and projects - operational management of the day to day work of the Reprographics Unit (including copy orders and digitisation project work).
- Ensuring work adheres to standards and procedural guidance for Digital Imaging.
- Preparation of original documents and process documentation required for imaging.
- Quality Assurance of digitised files.
- Post-processing of digitised files, e.g. creation of PDF access copies for multi-paged digital accessions.
- Responsibility for document security within the Reprographics Unit.
- Ensuring all digitisation and reprographic work adheres to preservation and document handling best practice.
- Digital Asset Management System (DAMS) testing and system admin duties.
- Uploading images into the DAMS.
- Staff line management responsibilities.
- Preservation and Collection Management (PCM) Duties Digital Preservation duties Seeding websites for capture.
- Quality assuring and publishing captured websites.
- Processing digital records which have been selected for permanent preservation in PRONI’s Digital Repository, including creation and manipulation of metadata spreadsheets.
- Providing support, guidance and advice to PRONI colleagues on digital records’ matters, including digital accessioning, metadata standards, digital processing, workflow and web archiving.
- Contributing to development / review of policy relating to the transfer and ingest of digital records (to identify improvements and simplify processes).
- Drafting processes, workflow and procedures relating to the transfer and ingest of digital records (to identify improvements and simplify processes).
- Document Production duties Managing Document Production and Issue Desk services for both staff and public.
- Providing advice and guidance on document ordering processes for special permissions and bulk access.
- Managing a programme of collections care work, including the upgrading of secondary enclosures.
- Monitoring storage environments and co-ordinating maintenance where necessary.
- Procurement of preservation supplies, oversight of cash handling at Issue Desk, and financial reconciliations.

- The above list is not comprehensive but gives a good indication of the main duties of the post. The emphasis on particular duties will vary over time according to business needs.
Skills and Qualifications
Essential Skills
- Applicants must demonstrate that by the closing date for applications they meet the following criteria: Have at least a second-class honours degree in any discipline.
- At least one of the following: A recognised post-graduate archival or records/information management qualification e.g Diploma in Archive Administration or an MA in Archive Administration or Records Management.
- OR At least 1 years’ experience in applying archival and/or records/information management principles, policies and practices.
