Administration Supervisor
Job description
To be responsible for the efficient supervision and direction of the administration team, ensuring all administrative duties are performed effectively and to the required standard, meeting the objectives of the practice. To support the management team in promoting Equality, Diversity & Inclusion, Health & Safety, quality and continuous improvement, confidentiality, collaborative working, service delivery, learning and development, and to carry out other duties as directed by the management team. .
Responsibilities
- Overseeing the administration and support operations of the practice, ensuring staff achieve their primary responsibilities.
- Line management of administrative staff, supporting staff development, providing guidance and direction, ensuring staff are up to date with mandatory training.
- Compiling administration staff rotas, ensuring sufficient cover is provided for periods of leave and other staff absences.
- Reviewing and updating administrative policies and procedures as required.
- Supporting the management team in the compilation of practice reports and the practice development plan.
- Developing, implementing and embedding efficient office processes and procedures to adhere to legislation.
- Updating the appointment system to reflect leave and other approved absences.
- Providing initial guidance and advice to patients who wish to verbally complain.
- Overseeing deliveries to the practice, ensuring adherence to the cold chain policy as necessary.

- Excellent communication skills (written and oral).
- Excellent Leadership skills.
- Strong IT skills (generic).
- Competent in the use of Office and Outlook.
- Effective time management (planning and organising).
- Ability to work as a team member and autonomously.
- Problem solving and analytical skills.
- Ability to follow policy and procedure.
Desirable Skills
- EMIS/Vision user skills.
