Job description

Nurturing Minds is seeking a dedicated and organised individual to join our team as an Administrative Coordinator. This role involves overseeing the administrative tasks relating to our tutoring service for primary and secondary school students. The successful candidate will play a key role in supporting the smooth operation of our tutoring programs and ensuring the welfare and progress of our students.

Responsibilities

  • Administrative duties.
  • Manage the day-to-day administrative tasks of the tutoring clubs including scheduling, registration and recordkeeping.
  • Communicate regularly with parents/guardians regarding club activities, student progress and any other relevant information.
  • Maintain accurate records of student attendance, academic progress and feedback from tutors.
  • Assist in the preparation and distribution of educational materials and resources for tutoring sessions.
  • Coordinate logistics for club events including parent meetings, workshops and special activities.
  • Serve as the primary point of contact for new customers, responding promptly to inquiries via phone, email or in person visits.
  • Conduct tours and provide information to prospective families interested in enrolling their children in our programs.
  • Maintain positive relationships with current families, addressing concerns and providing assistance as needed to ensure a high level of satisfaction.
  • Facilitate the enrolment process for new students including completing registration forms, collecting required documents and processing tuition fees.
  • Coordinate with the Program Director to ensure accurate recordkeeping of student enrolments, attendance and demographic information.
  • Communicate enrolment deadlines and program details to families ensuring timely and efficient registration procedures.
  • Financial administration.
  • Generate invoices for the tuition fees and other program-related expenses ensuring accuracy and adherence to payment schedules.
  • Follow up on outstanding payments, sending reminders.
  • Maintain financial records and reconcile accounts, providing regular reports to management as needed.
  • Logistics and operations.
  • Procure groceries and supplies for the homework club ensuring availability of snacks and materials for daily activities.
  • Open and close the facility according to established schedules ensuring security protocols are followed.
  • Assist with the coordination and implementation of summer schemes including scheduling activities, supervising participants and providing logistical support as needed.

Skills and Qualifications

Essential Skills

  • Previous experience in administrative roles, preferably in an educational or childcare setting.
  • Strong interpersonal skills with the ability to communicate effectively with diverse stakeholders including children, parents and staff.
  • Excellent organisational skills and attention to detail, with the ability to manage multiple tasks and priorities.
  • Proficiency in computer applications such as Microsoft Office and database management software.
  • Flexible schedule with availability to working evenings and weekends as required for program events and special activities.
  • Passion for working with children and supporting their academic, social and emotional growth.

Further Information

The Employer is: NURTURING MINDS. Work time: Hours vary depending on school holidays. During school year 12.00pm-7.00pm, during summer holidays 9.00am-3.00pm. Although this is a full time temporary opportunity, hours may be extended and it could lead to a permanent position. The job advert may end before the closing date if requested by the employer.
