Transport & Admin Officer (Hybrid)


Job description

To provide administrative support services to all aspects of the DART Partnership operations.

Responsibilities

  • Manage the day to day operation of the booking system
  • To maintain the Partnerships current Management Information System (MIS), Flexiroute
  • Deal with all relevant telephone, letter and personal enquiries ensuring appropriate follow-on communication or action where required
  • Hold and take responsibility for the Emergency Phone outside office hours
  • To produce and distribute agendas and the minutes of team meetings, sub-committees and reports for further meetings
  • To provide clerical support for the Operations Manager
  • To assist with the production of all materials for staff and volunteer training
  • To assist with publicity, MIDAS training and open days, annual general meetings, displays and other events or meetings (including after office hours) relating to Down Armagh Rural Transport Partnership
  • Maintaining adequate supplies of stationery and other equipment
  • Assisting if necessary with the mentoring of administrative volunteers and placements from third party agencies
  • To undertake any other reasonable duties as may be required from time to time by the Operations Manager in line with the status of the post

Skills and Qualifications

Essential Skills

  • Minimum of 6 months experience in a busy office environment
  • Minimum of 6 months experience dealing with customers
  • Excellent telephone manner
  • 5 GSCEs to include Maths & English or equivalent
  • IT literate; MS Office Experience
  • Ability to work on own initiative as well as part of a team
  • Ability to communicate effectively
  • Excellent interpersonal skills
  • Good organisational and time management skills
  • Ability to plan and prioritise own work
  • Flexible approach to working hours

Desirable Skills

  • Level 2 Business/ Admin qualification
  • Experience of the Flexiroute Transport Management System
  • ECDL
  • Knowledge and understanding of the needs, including mobility needs, of people with disabilities and a commitment to their equal rights

Further Information

Work time: Monday-Friday 8.00am - 4.00pm.
