Receptionist
Job description
A receptionist acts as the point of contact between a business and the customers. They're multi-tasking employees who also assist with typical administrative tasks. .
Responsibilities
- Greet and welcome guests as soon as they arrive at the centre.
- Direct visitors to the appropriate person or office.
- Answer, screen and forward incoming phone calls.
- Ensure reception area is tidy and presentable, with all the necessary stationery and material (e.g. pens, forms and brochures).
- Provide basic and accurate information in-person and via phone/email.
- Receive, sort and distribute daily mail/deliveries.
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
- Order front office supplies and keep inventory of stock.
- Room bookings and schedule updates.
- Update calendars and schedule meetings.
- Maintain and keep up to date knowledge of NI Music Exhibition.
- Perform other clerical receptionist duties such as filing, photocopying, transcribing.
- Attendance at staff meetings and regular feedback to line manager.
- Weekly reports to line manager and CEO.
- Any other duties the Operation Director may deem necessary and within reason.
- Observe all requirements under Health & Safety regulations.
- To upkeep the company's equal opportunities policy to ensure a neutral working environment.
- To keep staff/work areas tidy, safe & report any hazard, accident or loss or damage to management and observe all requirements under current health & safety regulations.
Skills and Qualifications
Essential Skills
- (Grades A-C) in Mathematics & English.
- Computer literate with the use and working knowledge of Microsoft Word, Excel and Outlook.
- Experience of providing high quality customer service.
- Ability to demonstrate strong numeracy and literacy skills.
- Excellent communication skills both written and verbal - with the ability to communicate with stakeholders at all levels.
- Ability to manage and prioritise a busy workload while working under pressure.
- Excellent organisational skills with the ability to do effective planning,
Desirable Skills
- Experience working in a reception, box office or similar environment.
Further Information
The Employer is: OH YEAH MUSIC CENTRE. Although this is a part-time temporary opportunity, hours may be extended and it could lead to a permanent position. The job advert may end before the closing date if requested by the employer. Wage: 16/17 £5.28, 18/20yrs £7.49, 21/22yrs £10.18, 23/24yrs £10.42 per hour
