Office Assistant


Job description

The Employer is: SCENT FROM IRELAND. The Office Assistant plays a crucial role in maintaining office functionality and supporting the smooth flow of daily operations. This role involves various tasks, including communication management, visitor assistance, supply maintenance, and record-keeping. The ideal candidate will possess strong organisational skills, attention to detail, and the ability to multitask effectively. Additionally, proficiency in office software and willingness to learn new systems are valuable assets for this position. All training will be provided. .

Responsibilities

  • Handling incoming phone calls and emails.
  • Welcoming visitors to the office, signing them in, and directing them to the appropriate person or area.
  • Ordering, organising, and maintaining office supplies and inventory levels.
  • Sorting and distributing incoming mail and packages and coordinating outgoing mail and shipments.
  • Filing and Organising Documents: Organising and maintaining physical and digital files, records, and documents in a systematic manner.
  • Assisting with scheduling appointments, meetings, and events, and maintaining calendars for team members.
  • Entering data into databases, spreadsheets, or other software systems, and maintaining accurate records.
  • Ensuring that office equipment such as printers, copiers, and fax machines are properly maintained and serviced.
  • Adhering to office policies, procedures, and protocols to ensure compliance and maintain confidentiality.
  • Communicating professionally and effectively with colleagues, clients, and suppliers.
  • Demonstrating problem-solving skills and taking initiative to identify and address issues or challenges proactively.
  • Document creation through software such as Excel, MS Word, Power Point.
  • Client management using CRM software (full training will be provided).

Skills and Qualifications

Essential Skills

  • GSCE English C or above.
  • Customer Service Skills.
  • Excellent communication and interpersonal skills.
  • Knowledge of MS office.

Desirable Skills

  • All training will be provided on our CRM software, no experience is necessary.

Further Information

The Employer is: SCENT FROM IRELAND. Although this is a part-time temporary opportunity, hours may be extended, and it could lead to a permanent position.
