HR Assistant


Job description

As a HR Assistant, you will play a crucial role in supporting the Human Resources department by assisting in various HR functions. You will be responsible for providing administrative support, maintaining HR records, assisting in recruitment processes and ensuring compliance with HR policies and procedures. This position requires strong organisational and communication skills, attention to detail and the ability to maintain confidentiality. Administrative Support: Assist in managing HR documentation including employee records, contracts and personnel files. Schedule interviews, meetings and training sessions. Maintain and update HR databases and spreadsheets. Recruitment and Onboarding: Coordinate the recruitment process including posting job vacancies, screening applications and scheduling interviews. Assist in onboarding new employees by providing them with necessary documents and information. Work with the HR Business Partner and candidates to ensure a smooth recruitment experience. Employee Records Management: Ensure the accuracy and completeness of employee records and files. Maintain confidentiality and security of sensitive HR information. Assist with employee data updates such as changes in contact information, job titles or salary adjustments. Compliance and Policies: Support the implementation and communication of HR policies and procedures. Assist in compliance and regulations such as record keeping and reporting requirements. Benefits and Leave Administration: Assist employees with enquiries regarding benefits, leave and other HR-related matters. Collaborate with the HR team to facilitate benefits and documentation..

Responsibilities

  • The role will support maintaining the accuracy and integrity of our HR data. Responsibilities will encompass a range of duties including data entry, processing and providing support in daily HR tasks focusing on recruitment and HR system maintenance.
  • Ensure the accuracy, completeness and confidentiality of HR and payroll data. Regularly update employee records including personal information, employment status and benefits.
  • Collaborate with the finance team to process payroll accurately and on time. Verify time and attendance records, manage leave balances and assist in resolving enquiries.
  • Assist in the recruitment process by scheduling interviews. Help maintain applicant tracking systems.
  • Take an active role in updating and maintaining the HR information system. This includes inputting data, generating reports and ensuring the system is up to date with changes.
  • Maintain accurate and organised HR documentation including employee contracts, policies & procedures and employee files.

Skills and Qualifications

Essential Skills

  • Educated to GCSE A-level or equivalent attaining pass marks in chosen subjects.
  • Strong interpersonal and communication skills.
  • Demonstrated ability to come up with ideas and bring them to life.
  • Experience in reading and assessing data to make decisions.
  • Ability to adapt to evolving needs and respond to feedback positively.
  • Strong organisational and time management skills with the ability to manage multiple tasks and prioritise effectively.
  • Ability to use Microsoft packages including Word, PowerPoint and Excel.
  • Enjoy working as part of a team to deliver results.
  • Excellent written and verbal communication skills.
  • Attention to detail and the ability to handle sensitive and confidential information with discretion.
  • Attention to detail. A keen eye for accuracy and precision.

Desirable Skills

  • Desire to work in the voluntary sector and to make a difference in our communities.
  • Desire to progress within the organisation and to develop your skills and experience.
  • Prior experience in an HR or administrative role is a plus, but not mandatory.

Further Information

The Employer is: NEXUS NI. Salary: 16-17 £6.40, 18-20 £8.60, 21 plus £11.44 per hour. Although this is a part-time temporary opportunity, hours may be extended and it could lead to a permanent position. The job advert may end before the closing date if requested by the employer.
