Job description

Provide administrative support to the Organisers, employees of the scheme, and Board of Trustees as appropriate and agreed..

Responsibilities

  • Ensure the efficient administration of the Home-Start office
  • Using Sage maintain accurate and up to date financial records, including grants
  • Handle banking matters including reconciliation/issuing invoices
  • Update monthly excel sheet for Preloved Shop showing income and expenditure
  • Ensure compliance with financial regulations and standards
  • Prepare management accounts to provide insights into the organisation's financial health
  • Develop and monitor budgets to ensure financial sustainability
  • Liaise with auditors the Treasurer and the Board of Trustees/Provide necessary information for auditors, funders, and Trustees
  • Provide necessary information for auditors, funders, and Trustees/Liaise with Trustees to submit annual returns to Companies House and the Charity Commission
  • Provide relevant information to Payroll Officer
  • Ensure timely payment of salaries and wages and volunteer expenses/Administer pensions, national insurance, income tax payments as per HMRC guidelines and Metalife as advised by Payroll Officer/Arrange for timely payment of incoming accounts
  • Manage accounts payable and receivable efficiently
  • Maintain effective communication with stakeholders/Observe good practice in equality, diversity, and fairness
  • Assist with the administration of the Scheme as required/Support events, meetings, and hospitality for visitors to promote organisation's interests
  • The post holder may be required to undertake any other duties that fall within the nature of the role and responsibilities of the post as detailed above.

Skills and Qualifications

Essential Skills

  • Good standard of education (GCSE, NVQ level 3 or equivalent) to include GCSE Maths and English Grades A to C
  • Relevant previous or current employment in a finance Role
  • Relevant Secretarial/IT/Accountancy/Sage /Excel Training

Desirable Skills

  • Experience of preparation of statutory accounts
  • Experience of working within a voluntary organisation or Charity
  • Qualifications in office practice / accountancy or equivalent
