Job description

Working within the Services Administration team, to provide high quality reception service and administration support for Action Cancer’s services, both in Action Cancer House (Belfast) as well as in the BIG BUS, Action Cancer’s state of the art mobile service which travels across NI..

Responsibilities

  • Provide reception cover at Action Cancer House, Belfast and on the Big Bus (on a rota basis).
  • Greet clients/visitors, update appointment systems and notify staff of arrival.
  • Answer and direct incoming reception calls.
  • Deal with enquiries from and provide information and guidance to clients and the public, passing queries to the appropriate person.
  • Provide cover for evening and early morning clinics held in Action Cancer House when required.
  • Ensure reception area is kept to a high standard and free from obstructions.
  • Ensure information leaflets in the reception area are available.
  • Sort and distribute incoming mail/deliveries.
  • Provide administration assistance to service clinics within Action Cancer House when required.
  • Place orders for kitchen and office supplies when required.
  • Undertake any training deemed relevant to the post.
  • At all times, respect the confidentiality and dignity of clients adhering to Action Cancer's Data Protection Policy.
  • Maintain close working and effective communication with other departments within Action Cancer.
  • Travel throughout Northern Ireland to wherever the BIG BUS is sited.
  • Assist with basic cleaning of the BIG BUS interior and to ensure that it is always kept clean and tidy.
  • To carry out any other duties as agreed with the Services Administration Manager.

Skills and Qualifications

Essential Skills

  • 5 GCSEs including English grade C or above (or equivalent).
  • IT literate with experience of data inputting.
  • Knowledge and experience of using ICT including all Microsoft Office packages, in particular Excel and Word.
  • Excellent communication skills.
  • Ability to work as part of a team.
  • Excellent organisational skills.
  • Available and flexible to work hours to meet the needs of the role including evenings and weekends (excluding Sunday).
  • A positive attitude for strong customer care and interpersonal skills including experience of managing sensitive situations.

Desirable Skills

  • A minimum of one year's reception/office experience.
  • Hold a full, current driving license with business insurance and be willing to drive either an Action Cancer company vehicle, or own car as scheduled on a car pool rota.
  • Candidates must have access to the use of a car or some other appropriate form of transport to carry out the duties of the post in full.

Further Information

The Employer is: ACTION CANCER Salary: 16-17 £6.40, 18-20 £8.60, 21 plus £11.44 per hour Although this is a part-time temporary opportunity, hours may be extended and it could lead to a permanent position. The job advert may end before the closing date if requested by the employer.
