This JobStart opportunity will provide a young person (aged 16-24 years) who is not in employment with experience in supporting the management and maintenance of the Belfast Office (College Square North) and assist in the planning and coordination of all Charity events. The experience gained in this role will increase knowledge, skills and attitudes required for employability in a wide range of industries. The ideal candidate is expected to behave in a professional manner at all times and adhere to YouthAction charter of expected behaviours. .

Responsibilities

  • Assist with the upkeep and maintenance of the Belfast Head Office (College Square North).
  • Provide support for all aspects of the maintenance and upkeep of the building including ensuring that: security, internal landscaping, general maintenance, health and safety, mechanical and electrical maintenance, lifts, and other requirements.
  • Be consciously vigilant of the cleanliness and health and safety on each floor.
  • Liaise with tenants and deal with all requests in a timely, professional manner.
  • Work alongside the senior leadership team to ensure excellent service delivery, generating new ideas for cost savings and/or increased efficiency for the property.
  • Support the senior leadership team to help deliver all environmental and sustainability related goals and targets.
  • Prepare monthly reports or check ins with the senior leadership team regarding building support requirements, ensuring accuracy and required timelines are met.
  • Coordinate in the scheduling, planning and production of events for the Charity.
  • Communicate with vendors and suppliers to ensure all necessary supplies and services are secured for each event.
  • Assisting with setting up event spaces with decorations, seating arrangements, and audio-visual equipment as needed.
  • Greet and assist guests upon arrival, providing excellent customer service and addressing any enquiries.
  • Monitor event activities to ensure smooth operations and handle any issues or emergencies that may arise.
  • Assist with event registration, ticketing, and guest check-in processes.
  • Collaborate with the wider team to develop event timelines, schedules, and run sheets.
  • Assist with post-event activities such as cleaning up the venue and collecting feedback from attendees.
  • To carry out other duties that may be reasonable and necessary for the effective operation of the programmes delivered by the Charity.
  • As well as 'on the job' training, the opportunity to undertake a relevant training course/qualification may be available under the JobStart scheme.
  • As part of the requirements of the JobStart scheme, an internal mentor at YouthAction will meet the Building Management Support and Events Intern personnel monthly during the duration of the role, to agree and review a personal training plan (PTP).
  • Set learning goals, assist with CV development, and job search support for career progression.

Skills and Qualifications

Essential Skills

  • Possess a sound knowledge of ICT skills and social media skills.
  • An effective and confident communicator.
  • Excellent organisational and time management skills.
  • Demonstrate a strong interest in the charity/youthwork sector.

Desirable Skills

  • Previous experience in customer service or event management.

Further Information

The employer is: YOUTH ACTION NORTHERN IRELAND. Although this is a part-time temporary opportunity, hours may be extended and it could lead to a permanent position. The job advert may end before the closing date if requested by the employer. Salary: 16-17 £6.40, 18-20 £8.60, 21 plus £11.44 per hour.
