Job description

The Employer is: ACREWOOD DAYCARE. Administrative Assistant based in Belfast .

Responsibilities

  • Assist in preparation of regularly scheduled childrens reports.
  • Write and distribute email correspondence memos, letters, forms.
  • Develop and maintain a filing system.
  • Order office supplies and research new deals.
  • Making sure invoices are paid.
  • Maintain contact lists.
  • Submit and reconcile expense reports.
  • Liaise with manager / deputy to handle requests and queries.
  • Support each room with admin.
  • Responsible for managing and distributing information among their co-workers.
  • Handle various Tasks to help Support positive and productive interactions between the organisation.
  • Greeting and assisting visitors.
  • Answer and direct phone calls.
  • Handling office Tasks such as filing, typing, copying, binding, scanning.
  • Making travel arrangements for outings.
  • Organise and schedule appointments/meetings.
  • Making sure there are no scheduling conflicts.

Skills and Qualifications

Essential Skills

  • Good verbal and written Communication skills.
  • Monitoring skills.
  • To work as part of the acrewood Team under the direction of the Leader in charge.
  • Have a flexible approach.
  • Commitment to Continuous Personal development.
  • Experience as an administrative Assistant or office admin assistant.
  • Knowledge of office systems and procedures.
  • Working knowledge of office equipment, printers etc.
  • Proficiency in MS Excel and MS PowerPoint.
  • Excellent time management skills and the ability to prioritise.
  • Excellent written and verbal communication skills.
  • Organisational skills with the ability to multitask.

Further Information

The Employer is: ACREWOOD DAYCARE. Although this is a part-time temporary opportunity, hours may be extended, and it could lead to a permanent position. The job advert may end before the closing date if requested by the employer.
