Administrator/Receptionist


Job description

We are looking for a focused person to provide support and keep the office running smoothly and efficiently. In this role, you will be required to oversee administrative and clerical activities, greet and direct office visitors at reception, answer telephone calls and respond to emails, collect, organise and retrieve information and documents, and make arrangements for meetings, training, events and travel. To be a successful Administrator, you should be committed to facilitating smooth, efficient office operations by planning carefully, anticipating needs and providing responsive, reliable assistance. You should be adaptable, proactive, supportive and detail-oriented..

Responsibilities

  • Providing administrative and financial support to the office-based staff.
  • Reception duties including receiving and relaying written and verbal messages.
  • Inform public about available services and activities.
  • File and retrieve documents from an established filing system and open new files.
  • Draft routine business communications, arrange meetings and appointments including diary management.
  • Produce copies of documents using printers, photocopying and scanning equipment.
  • Prepare documents using various software packages (e.g. Word, Excel, Access, PowerPoint).
  • Maintain and monitor stock levels of stationery, supplies etc.
  • The ability to work as part of a team and be able to work with the project's various programmes and clients.
  • Engagement with the project's social media accounts.

Skills and Qualifications

Essential Skills

  • Knowledge of Microsoft Office.
  • Knowledge of an office environment and general administrative duties.
  • Successful candidate will be subject to 2 reference checks.
  • Willingness to undergo training both on and off the job.
  • Experience of social media.

Desirable Skills

  • Level 2/3 qualification in Business Administration/IT.

Further Information

The Employer is: STRABANE COMMUNITY PROJECT Although this is a part-time temporary opportunity, hours may be extended and it could lead to a permanent position. The job advert may end before the closing date if requested by the employer. Salary: 16/17 £6.40, 18/20yrs £8.60, 21yrs or over £11.44 per hour
