Admin and Events Officer


Job description

The Cinemagic Admin and Event Officer will be responsible for delivery of festival events, specific projects and overseeing the organisation box office. In additional the position will have a strong focus on the organisation's technical requirements and online engagement with audiences aged 4-25 including schools and educators. The ideal candidate will have excellent interpersonal skills and be able to hit the ground running to help deliver multiple events, festivals and school activities. Working with teams across the organisation, the Admin and Events Officer will deliver Cinemagic's high quality creative content and schools programmes that engages our audiences in the UK and internationally..

Responsibilities

  • Deliver Cinemagic educational, outreach, festival and training projects.
  • Present Cinemagic programmes and activities both in venue and in a digital space, supporting the Cinemagic team.
  • Work with the Cinemagic team to ensure that online or in person school events and virtual project sessions are well attended.
  • Promote all available resources for schools and individuals and support teachers/educators/parents via phone, email and video call enquires.
  • Phoning schools and interest groups regularly to generate sales and bookings.
  • Assisting in coordinating guest travel within agreed budgets.
  • Event coordination, planning logistics, timelines for projects.
  • Advising customers on event information and collate all festival evaluations.
  • Maintaining and managing volunteer databases, training and event rotas.
  • Ensure all events are produced and delivered to agreed standards of excellence as outlined in agreed project plans within resources, budgets and time requirements.
  • Working with the Festival team and partners to create accessible events and online content that engages people from all communities including people with additional needs and people at risk of social exclusion.
  • Assisting colleagues on various projects at evening and weekend events as required within the nature of the post. Provide logistical support and respond to requests from stakeholders directly engaged with projects.
  • Maintaining databases for the Belfast, Dublin and other Cinemagic Festival programmes. Overseeing technical equipment ensuring everything prepared for events is recorded, returned and checked.

Skills and Qualifications

Essential Skills

  • Minimum 12 months event management and box office management experience.
  • Confidence and experience on phone sales and marketing.
  • Excellent written and oral communication skills.
  • A can-do attitude and the flexibility to work outside normal office hours and weekends during special events and festivals.
  • Working experience on managing festival technical equipment.
  • A keen interest and working knowledge of film and the local film industry.
  • A genuine passion to work and develop within the festival/film exhibition sector.
  • A minimum of 1 year's experience working with children and young people.
  • Professional knowledge of relevant media platforms.
  • Ability to plan and schedule work in a timely manner to meet deadlines.
  • Experience of interpreting and reporting on data and using it to inform ongoing practice.

Desirable Skills

  • Ability to work with multiple teams and unsupervised as required.
  • A drivers license and access to a car.
  • Curiosity about film and its successful delivery in the digital space.
  • Strong personal effectiveness and time management skills.
  • Ability to persuade, motivate and inspire others to action.
  • Ability to think creatively, strategically and innovatively.
  • Ability to build and maintain internal and external relationships.
  • Flexibility and willingness to work outside normal working hours and overtime, when deadlines demand.
  • Capable of working under pressure.
  • Willingness to help with tasks outside regular duties.

Further Information

The Employer is: CINEMAGIC Although this is a part-time temporary opportunity, hours may be extended and it could lead to a permanent position. The job advert may end before the closing date if requested by the employer. Salary: 16-17 £6.40, 18-20 £8.60, 21 plus £11.44 per hour.
