Job description

The Employer is: TIDES TRAINING AND CONSULTANCY. TIDES Training mentoring and mediation aims to empower people with the practical skills to deal with the challenges of everyday life and to help facilitate improved individual / organisation relationships and peace building at a community level. The Administration Trainee will support TIDES finance and admin staff in the delivery training and mediation programmes. The Trainee role will provide the staff member with a wide range of learning and experience around the delivery of Peace building and Good Relations work. This will involve shadowing experienced Administration staff to support the co-ordination of TIDES programme delivery. The Trainee will be supported in their personal development and work-based learning through their participation in accredited training to enhance skills..

Responsibilities

  • Answer phone & Redirect inquiry as appropriate to staff members.
  • Greet clients/suppliers/visitors in a professional and friendly manner.
  • Sort incoming mail, emails and prepare maiL/courier deliveries for distribution.
  • Use MS office: to prepare and source documents.
  • Update and ensure accuracy of project database.
  • Purchase receive supplies to ensure resource availability.
  • File material according to established procedures.
  • Support staff with meeting, travel and other arrangements.
  • Provide administrative support to management and other staff.
  • Organise hospitality as require for meetings.
  • Help Process expenses to ensure accuracy within budget constraints.
  • Compile and store records to assist with Period end reporting.
  • Assist OCN course registration to Ensure quality assurance in OCN admin duties.
  • Undertake such other duties and tasks within the scope of this post.

Skills and Qualifications

Essential Skills

  • Good communication skills.
  • Ability to use Microsoft Office to support the production of admin information.
  • The energy and drive to join a small highly innovative team and bring a young persons perspective to programme design.
  • Ability to be able to work well in a team while being able to work independently.
  • Being organised and methodical.
  • Knowledge of websites and social media.
  • Eligible to work within the UK.
  • Ability to work with people regardless of their ethnic, cultural, social backgrounds, gender, age, belief, disability and sexual orientation.

Desirable Skills

  • Previous experience of volunteering.
  • Good time management.
  • The ability to act with integrity.
  • Being creative, proactive and have a willingness to try new things.
  • Work within the limits that are required by confidentiality.

Further Information

The Employer is: TIDES TRAINING AND CONSULTANCY. Although this is a part-time temporary opportunity, hours may be extended, and it could lead to a permanent position. The job advert may end before the closing date if requested by the employer. Location: TIDES Office Belfast Trainees will complete relevant work based learning throughout the placement, alongside TIDES programmes. Good Relations and Conflict Resolution and Mediation Skills They will also be supported to attend other relevant training such as OCN assessor training.
