Trainee Clerical Officer


Job description

To provide support and assistance for day-to-day clerical support services for the department..

Responsibilities

  • Assist with clerical support services to the wider team including drafting letters, emails, memos, photocopying, scanning and printing.
  • Assist as first point of contact with the public, deal with enquiries, requests for services and receive all incoming telephone calls accordingly.
  • Assist with clerical support at internal and external meetings, events and training courses via taking registrations and completing sign in sheets as well as minuting meetings.
  • Assist with the setup of meetings including ordering refreshments, booking venues for events and participating in the running of events.
  • Shadow members of the team when visiting projects across the district.
  • Assist with maintaining databases including inputting data and printing reports as required.
  • Assist with the processing the section's incoming and outgoing mail including recording and distribution of same.
  • Assist with file retrieval and record management.
  • Participate in and ensure compliance with all council policies and procedures and operate within the highest standards of personal behaviour which reflect the core values of the organisation.
  • Ensure full compliance with health and safety requirements and legislation in accordance with the council's policies and procedures.
  • Undertake any other duties appropriate to scale which may be required from time to time.
  • Comply with and actively promote the council's policies and procedures on all aspects of equality.

Skills and Qualifications

Essential Skills

  • Must have English and Maths GCSE grade C or above or equivalent level of qualification.
  • Knowledge and awareness of health and safety practices.
  • Must meet the JobStart criteria.

Desirable Skills

  • Knowledge and interest in one or more of the following: Admin, team working, event planning or community development.

Further Information

The Employer is: DERRY CITY AND STRABANE DISTRICT COUNCIL. Salary: Under 18 £6.40, 18-20 £8.60, 21 & over £11.44 per hour. Although this is a part-time temporary opportunity, hours may be extended and it could lead to a permanent position. The job advert may end before the closing date if requested by the employer.
