Office Administrator


Job description

We are looking for an Office Administrator to help deliver day-to-day operations and ensure the smooth functioning of our office. You will be joining a team that offers remote working and flexible working patterns. The role involves administrative duties including emails, telephone calls, maintaining and updating information within the company data management systems and corresponding with clients through various channels. The successful candidate will manage our social media presence to increase brand awareness and engagement (Facebook and Instagram)..

Responsibilities

  • Provide a high level of administrative service, mainly incoming and outgoing emails, diary bookings and route planning.
  • Accurately operate, maintain and update all Management Information Systems operated by the company e.g. databases/spreadsheets/records and use IT systems and packages in accordance with office policies and procedures.
  • Act as a point of contact between contractors, clients, staff and external stakeholders.
  • Ensuring social media platforms are accurate and up-to-date including message response, content creation, multimedia production, content calendar, analytics, trends and research, engagement and monitoring.
  • Support various projects by conducting research, collecting data, assisting with reporting and drafting communications/documents. Participate in team discussions offering creative ideas and insights.
  • Any other duties as and when required.

Skills and Qualifications

Essential Skills

  • GCSE C or equivalent in English and Mathematics.
  • Proficiency in IT skills (keyboard skills, Microsoft Word and Excel, emailing etc.).
  • Good organisational skills/time management.
  • Ability to work with a high degree of accuracy and attention to detail.
  • Ability to work independently along with good communication and interpersonal skills working with the public and within the team.

Desirable Skills

  • Experience working in a busy office environment.
  • Experience in customer service.
  • Knowledge of CRM or SMS marketing.
  • Experience of managing social media/familiarity with social media management tools e.g. Hootsuite, Buffer, Google Analytics, Facebook Insights etc.
  • Good grasp of social media.
  • Keen to learn and develop skills.

Further Information

The Employer is: THE OVEN AND APPLIANCE CLEANING COMPANY. Salary: 16-17 £6.40, 18-20 £8.60, 21 plus £11.44 per hour. Although this is a part-time temporary opportunity, hours may be extended and it could lead to a permanent position. The job advert may end before the closing date if requested by the employer. We are a family run company with nearly 20 years of experience in the services industry. The main service we deliver is oven and appliance valets and we operate across Northern Ireland and throughout the Republic of Ireland. The ideal candidate will work remotely with regular in-person/virtual team meetings. Ongoing training will be provided to support the successful candidate as they progress and settle into the role.
