Receptionist / Administrator


Job description

Job brief The role of the Receptionist is to undertake a wide variety of administrative tasks, ensuring the Design ID team have the adequate support they require to work efficiently. The Receptionist is an integral member of the team and ensures the smooth running of our company’s offices. As the first point of contact for all individuals to the office (clients and staff) high standards of professionalism and a warm welcome is essential. .

Responsibilities

  • Coordinate office activities and operations to secure efficiency and compliance to all company policies.
  • Manage phone calls and correspondence (e-mail, letters, packages etc.)
  • Provide reception duties, meeting and greeting staff and visitors.
  • Create maintain and update records and databases as required.
  • Track and maintain stocks of office supplies and place orders when necessary.
  • Maintain a company calendar and schedule appointments. Book and mange meeting rooms as required.
  • Arrange travel and accommodations.
  • Schedule and manage in-house and external events e.g. lunch and learn seminars, arrange refreshments when required.
  • Assist colleagues whenever necessary.

Skills and Qualifications

Essential Skills

  • 1 year previous reception / administration experience.
  • Minimum of 4 GCSEs (or equivalent) at Grade c or above including Maths and English; or minimum of two years relevant experience particularly in a receptionist administration role in a busy office environment.
  • Excellent working knowledge of Microsoft Office suite.

Desirable Skills

  • Previous database experience desirable

Further Information

We are busy and vibrant shared workspace based in Hillsborough County Down. Our core business is Civil and Structural Engineering. We have further offices in London and Dublin. This is a job share role and candidates will be expected to cover Wednesday afternoon and full day Thursday and Friday to ensure full reception cover on these days. Whilst hours are set there may be some flexibility if these hours do not quite fit - we are always open to a conversation with the right candidates.
