Administration Officer


Job description

To assist the CCP Strategic Manager in the co-ordination, delivery of the Culmore Hub Community Support Programme.

Responsibilities

  • Work closely with the Manager to ensure smooth running of Culmore Community Hub.
  • Ensure accurate record keeping in the building.
  • Answer phone and e-mail messages and deal with queries.
  • Keep bookings diary up to date on MS Outlook and record manually, take and record future bookings and give receipts for all payments received.
  • Keep records of the number of service users on each programme on a weekly basis, report in format requested by Manager.
  • Provide support with social media for the organisation to promote activities and support in the Culmore area.
  • Provide admin support to all staff.
  • Provide support at community events.
  • Provide support in the set up and take down of classes/activities.
  • Provide support with monitoring and evaluation of programmes.
  • Create and maintain good working relations with Company Trustees and Members, staff, volunteers, facilitators and service users.
  • Welcome visitors to the Hub and ensure they receive the support they require.
  • Take bookings for all activities delivered at Culmore Community Hub using MS Excel.
  • Issue invoices for room hire and deal with Petty Cash and bank lodgements, record details using MS Excel.
  • Record equipment loaned out and returned.
  • Work with the Manager and Programme Co-ordinator to deliver programmes.
  • Operate Health and Safety at Work procedures.
  • Record keeping of any reportable accidents.

Skills and Qualifications

Essential Skills

  • 5 GCSEs including Maths & English Grade A-C or NVQ Level 2 & 2 A Levels or NVQ Level 3 Plus A minimum of 1 years’ experience in a similar role.
  • Experience of working in a busy environment and prioritising competing demands.
  • Excellent communication skills both written and spoken.
  • Sound IT proficiency including Microsoft Word and Excel.
  • Experience of working directly with the public.
  • Excellent social media skills, familiarity with Facebook and Instagram.
  • Ability to communicate clearly and effectively by telephone and in person.

Desirable Skills

  • Degree in Administration, Business or Accountancy.
  • Experience of working in a people-facing role with a good understanding of good service.
  • Experience of dealing with a high volume of telephone, social media and email enquiries.

Further Information

Salary: £24,294 pro rata per annum (NJC Scale 4 Point 7). This programme has been funded by the National Lottery Community Fund. The Culmore Hub Community Support Programme will provide activities, support and events for local residents to create a more connected community, reduce isolation and loneliness, improve mental and physical well-being, improve access to services, create new friendships, and provide opportunities for volunteering and training. There will be tailored programmes for people aged 50 years and over, women, men, parent and toddler, and an evening programme for those in employment. We will also provide a year long festival programme and a range of support services and training opportunities for the whole community.
