Volunteer Co-Ordinator
Job description
The post holder will support staff and volunteers within Extern in their designated areas. They will support the management and development of volunteer activity across the organisation. They will build on and incorporate the existing services into a wider local network of volunteers to provide support to those who benefit from Extern’s services. The post holder will also support the development and implementation of volunteer policies and procedures in line with good practice guidelines.
Responsibilities
- To collaborate with local community and voluntary organisations to introduce and increase volunteer support to Extern.
- To support with the development of new and innovative ways of working with volunteers, working collaboratively with statutory and voluntary agencies to increase our reach and mobilise support.
- To collaborate and devise volunteer roles and extend reach to increase volunteer diversity recruiting from all sections of the community to reflect the make-up of local communities within which we work.
- To promote a consistent approach towards volunteers and volunteering across the organisation.
- To identify and respond to the recruitment, retention and development needs of volunteers, in line with Extern’s policies and best practice.
- To identify resources and organisations that can assist with the recruitment, development and support of volunteers.
- To support with identifying and securing local opportunities to attract new volunteers (e.g., events, local media) including information and recruitment materials.
- To be the first point of contact for all volunteering enquiries and respond and/ or progress as required.
- To manage and coordinate the recruitment and selection of suitable volunteers from all sections of the local community.
- To support with organising induction and role specific training for volunteers and place them appropriately within the organisation.
- To provide support and advice to volunteers and liaise closely with the Line Manager where the volunteer is placed, ensuring that the volunteering placement is working for both the volunteer and the organisation.
- To manage and coordinate the planning, development and organisation of support events for volunteers.
- To identify the training needs of volunteers and liaise with volunteers to organise the accessing of training programmes within Extern and with external organisations.
- To complete volunteer risk assessments and update regularly. To ensure Extern’s compliance with relevant regulatory frameworks.
- To attend and participate in internal and external meetings as required and act as an advocate for volunteers where appropriate e.g. team meetings, multi-disciplinary meetings.
- To actively promote Extern Volunteering internally and externally through multi-agency and multi-disciplinary working.
- To develop and maintain appropriate professional relationships with volunteers, colleagues and stakeholders.
- To ensure that existing volunteers are kept informed via newsletters or other communications of organisational change and developments.
- To keep comprehensive, accurate and up to date records of all volunteers (using a database), including personal details, and maintaining records for the appropriate training of volunteers, whilst ensuring compliance with Data Protection requirements.
- To develop, maintain and review the volunteer administrative systems to ensure that they are robust, comprehensive and effective.
- To manage and coordinate events and opportunities to recognise volunteers contribution to the organisation on individual and collective bases.
- To maintain up to date knowledge of all developments in legislation and best practice within the voluntary sector pertinent to the provision of voluntary services and inform relevant stakeholders.
- In conjunction with managerial staff, organise the support for supervision, management and training of volunteers.
- To attend appropriate volunteer training and share knowledge with stakeholders.
- To adhere to Extern’s Health & Safety Policies and Procedures e.g. Lone Working Policy.
- To undertake any other duties reasonably requested by Extern, including any additional administration duties required to support the function of the wider HR team.
Skills and Qualifications
Essential Skills
- A minimum of 4 GCSE’s, including English and Maths (Grade C or above) or equivalent e.g. relevant NVQ Level II.
- A minimum of 1 years’ experience working in an administrative role, preferably in the volunteer sector.
- Experience of using Microsoft Office packages including MS Word, Excel and PowerPoint.
- Demonstrable ability to manage and deliver work to a high standard against competing priorities and tight deadlines.
- Must have a full driving licence and access to a car with relevant business insurance.
- Please note these driving criteria will be waived in the case of an applicant whose disability prohibits driving but who is able to demonstrate their ability to meet the mobility requirements of the post.
Desirable Skills
- Previous experience of recruiting and vetting volunteers. Level 5 CIPD qualification.

Salary: Grade 4 salary scale: £25,559 - £26,071 per annum pro rata
