Commercial Administrator
Job description
THE EMPLOYER IS: MARTIN CONTRACTING SERVICES The Commercial Administrator is responsible for providing administrative support to all departments within MARTIN.
Responsibilities
- Phone & reception duties
- Provide commercial support.
- Book travel as per travel request form.
- Applying for street works licences.
- Ordering of ACE maps.
- Open new jobs from enquiry forms, set contracts up on Summit, create digital job files on the server and blue job files when required.
- Filing & archiving.
- Helping promote & maintain GDPR awareness and compliance.
- Maintenance of the company website.
- Helping to promote Health & Wellbeing initiatives throughout the company.
- Contribute to ensuring quality is the focus of everything MARTIN do, ensuring customer, employee and stakeholder satisfaction.
- Contribute to compliance of the IMS system within the company.
- Various other general Adhoc tasks for all departments.
- Putting together H&S job folders (hard copy of required forms for new jobs), setting up inductions.
- IMS - maintain and update as required (including maintaining subbie insurance etc).
- Chasing and storing weekly returns, highlighting any HSE Weekly check issues raised to SHEQ Manager.
- Chasing monthly TBT’s issued to Site Agents and recording attendees on log.
- Training matrix for (H&S) highlighting any courses requiring renewed.
- Booking H&S courses.
- Maintain and update the M&M spreadsheet (including looking after waste licences).
- Digital forms - amending and creating.
- Assisting with construction phase plans, research for monthly training and H&S publications (subcontractor handbook/Site Agent Handbook).
- Follow up close out of audits and non-conformances highlighting any issues to SHEQ Manager.
