Job description
THE EMPLOYER IS: ABC COMMUNITY NETWORK This is a great opportunity for someone who enjoys working in a people-focused, supportive environment. The successful applicant will be confident in handling both front-of-house duties and general office administration, including database work, phone handling, and event coordination. Full training on internal systems (including Salesforce) will be provided. The Administrative Assistant will provide a range of reception and administration support and will assist with the smooth running of the office.
Responsibilities
- To assist with telephone (both live calls, and voicemail messages) dealing with routine, basic inquiries, forwarding calls to staff or their voicemails, and taking down and passing on messages or queries where necessary.
- To assist with the setting up of group activities, show participants to the room, sign-in forms, and arrange refreshments.
- To assist with general reception e.g., courier collections and deliveries, distributing post, and welcoming visitors to the office.
- To register each participant/group to all activities, upload information to the database, monitor and review this information every quarterly, and inform the relevant members of staff on registration numbers.
- To contribute to scheduling and coordinating activities by registering participants, sign-in forms, evaluations, and resources by maintaining room bookings.
- To assist with general office activities to include printing, filling, and disposing of confidential information.
- Process new membership requests including entering new member details in Salesforce and sending out new members welcome letters/packs, and recruitment for new members, updating members’ information on the organisation’s website.

Essential Skills
- Communication Skills - clear speaking and active listening - to handle calls and greet visitors politely and Writing clearly and professionally - for messages, emails, and letters.
- Customer service - being polite, patient, and helpful to callers and visitors.
- Time management - to balance phone calls, admin work, and in-person tasks.
- Prioritising tasks - knowing what needs to be done first (e.g. urgent messages or busy group sessions).
- Attention to detail - when filling in forms, registering participants, or entering data.
- Basic computer skills - using email, Word, Excel, and database systems like Salesforce.
- Data entry - accurately updating records, uploading documents, and managing sign-in sheets.
- Printing, scanning, and filing - both paper and digital.
- Working well with others - supporting staff, participants, and colleagues.
- Welcoming attitude - greeting visitors and creating a friendly atmosphere.
- Flexible and helpful - willing to assist with setting up rooms, refreshments, etc.
- Handling sensitive information - such as membership details and evaluations.
- Disposing of confidential information properly - e.g., shredding documents.
Desirable Skills
- Experience using Salesforce or other databases.
- Experience working on a reception desk.
- Knowledge of office equipment (e.g. photocopier, franking machine).
- Understanding of confidentiality and GDPR.
- Ability to handle multiple tasks at once.
- Confidence in welcoming and guiding groups or visitors.
- Interest in community or member-based organisations.
