Communications Assistant
Job description
To be an active member of the General Assembly’s staff team, contributing to the effective administration of its functions. To provide administrative support to the Head of Communications, executive staff and Convenors for the delivery of the agreed work programme for the General Council (Communications Department) in a manner in keeping with the Christian ethos of the Presbyterian Church in Ireland.
Responsibilities
- Responsible for the administration within the Communications Department (General Council), with direct responsibility to provide administrative support to the Head of Communications on in his/her work.
- To provide first point of telephone contact and reception for callers and visitors to the Communications Department and to deal with all e-mails received at the ‘herald@’ e-mail address, to resolve and/or forward queries to the relevant staff member
- To provide subscription manager functions for Herald, liaising with agents regarding orders, subscriptions and deliveries and dealing directly with any problems, or liaising with other relevant members of staff.
- To assist in the promotion/marketing of the Herald magazine by supporting agents, congregations and ministers, and working with relevant members of staff.
- To liaise directly with Herald display and classified advertisers, including bookings, payments and artwork, and actively seeking new advertising.
- To liaise with agents, printers, couriers and delivery points regarding distribution of Herald and other department productions
- To raise invoices and process subscribers’ and advertisers’ payments for Herald including updating Communications Department accounts
- To provide research assistance as required to the Communications Department staff and Head of Communications
- To develop, with others in the Communications Department, concepts for departmental productions and initiatives.
- To assist with the preparation and updating of web content when required
- To assist with the preparation and updating of social media content when required.
- To order office materials
- To provide hospitality as appropriate for visitors etc. including any practical support as may be required, for meetings, and other events as designated by the Head of Communications
- To undertake any other relevant duties as may be required
- To contribute to department projects that may align with relevant knowledge, skills or areas of expertise.
- To undertake such training as may be required for the efficient performance of the above duties
- To contribute to the overall organisational effectiveness and to perform any other duties as deemed appropriate by the Head of Communications in line with the requirements of the General Assembly or the Clerk of the General Assembly
Skills and Qualifications
Essential Skills
- OCR Level 2 in Word Processing OR equivalent in qualifications OR competence
- A sound knowledge of Microsoft applications
- Minimum of 5 GCSE passes at Grades A-C including English Language and Maths OR equivalent qualifications
- Ability to access web-based information
- Experience of administrative tasks and duties
- Experience in dealing with the general public
- Experience of or working knowledge of maintaining and updating social media accounts
- Experience of or working knowledge of maintaining and updating website content
- Willingness to work within the Christian ethos of the Presbyterian Church in Ireland.
