Job description
We are seeking an experienced Receptionist to join our team with Foyle Women's Aid to provide a warm, professional, and efficient reception service at the Foyle Family Justice Centre. The Receptionist will be the first point of contact for visitors and callers, ensuring they are welcomed, directed, and supported appropriately. The role also includes basic administrative duties and maintaining a clean, organized, and confidential environment.

- Adhere to the FWA Confidentiality Policy and Procedures and the Data Protection Policy and Procedures, with a client-centred approach at all times.
- Greet all visitors and clients warmly and professionally.
- Direct clients and visitors to appropriate staff or meeting rooms.
- Maintain meeting room diary.
- Maintain Confidentiality and adhere to GDPR policies at all times.
- Ensure the reception and lobby areas are clean, tidy, and welcoming.
- Record visitor details and ensure sign-in procedures are followed.
- Offer refreshments to clients waiting for appointments.
- Send and respond to emails, and communicate messages to staff.
- Create fobs and process service charge payments, issuing receipts.
- Record and distribute incoming post and check the post-box daily.
- Answer incoming calls and transfer them to the appropriate staff member.
- Maintain a telephone log and pass on messages via appropriate channels.
- Update visitors on any delays or changes to appointments.
- Check daily diary for meetings, programmes, and room availability.
- Set up meeting rooms and ensure catering is ordered/prepared.
- Clear down meeting rooms after use.
Skills and Qualifications
Essential Skills
- Possess GCSEs in English and Maths Grade A to C
- Possess at least 1 years’ experience in customer service role
- Demonstrate excellent communication skills, both verbal and written
- You will be subject to an Enhanced Access NI Check
- Excellent interpersonal and communication skills.
- Strong organisational and time management abilities.
- High attention to detail and accuracy.
- Ability to maintain confidentiality and discretion.
- Ability to work independently and as part of a team.
- Competence in use of Microsoft Office.
