The Recruitment Administrator plays a key role in the candidate registration and onboarding process. This role focuses on ensuring that all candidates are efficiently registered, fully compliant, and ready for placement. The post holder will act as the main point of contact for new applicants, supporting them from initial enquiry through to active registration, while maintaining high standards of accuracy, professionalism, and customer service.
Responsibilities
- Manage the full registration process for new candidates from initial enquiry to completion of compliance documentation.
- Contact applicants to arrange registration appointments, explain documentation requirements, and guide them through each stage.
- Collect, verify, and record all candidate documentation including ID, right-to-work evidence, qualifications, and references.
- Ensure all registration forms, contracts, and declarations are completed accurately and stored securely.
- Conduct regular compliance checks in line with agency and industry regulations (e.g., DBS, right-to-work, professional qualifications).
- Keep candidate records up-to-date on internal systems, ensuring data accuracy and GDPR compliance.
- Flag and follow up on expiring documents such as DBS certificates, training, or professional registrations.
- Support audits by maintaining clear, well-organised candidate file
- Liaise with recruitment consultants to ensure candidates are fully registered and ready for work placements.
- Schedule and confirm induction or training sessions for candidates where applicable.
- Support the creation and distribution of welcome packs, timesheets, and policy information.
- Assist with data entry, reporting, and other administrative duties as required by the recruitment team.
Skills and Qualifications
Essential Skills
- Previous experience in administration or compliance prefered
- Strong administrative and organisational skills with excellent attention to detail.
- Confident communicator with a professional and friendly manner.
- Knowledge of compliance standards (e.g., right-to-work, DBS, GDPR).
Desirable Skills
- Ability to manage multiple candidate registrations simultaneously.
- A proactive, customer-focused approach to administration.
