Job description

THE EMPLOYER IS: ALLEN PEOPLE SOLUTIONS LTD To provide high-level administrative and IT support in a dynamic, fast-paced consultancy environment. This role offers the opportunity to contribute to operational efficiency by supporting both people and systems, while playing a key role in automating and streamlining business processes.

Responsibilities

  • Deliver day-to-day administrative support across the business, ensuring smooth office operations.
  • Organise meetings, order and maintain office supplies, and manage general office logistics.
  • Act as the first point of contact for visitors and handle inbound calls and emails professionally and efficiently.
  • Arrange travel and accommodation bookings as needed.
  • Assist consultants with administrative tasks including document formatting, photocopying, evidence collation, and note-taking.
  • Perform any other reasonable administrative duties as required.
  • Act as a liaison with external IT providers to maintain and improve IT infrastructure.
  • Support social media platforms and our marketing activities to promote the business including the maintenance and upkeep of the website.
  • Maintain company databases, spreadsheets, and systems in line with GDPR compliance and internal data standards.
  • Monitor and assist in resolving IT-related issues, including software renewals, access requests, and troubleshooting.
  • Identify opportunities for automation of repetitive tasks and workflows to improve operational efficiency.
  • Assist in the implementation and maintenance of automated solutions including Documate and Gavel.
  • Support the development and ongoing enhancement of the organisation’s AI and digital capabilities.
  • Collaborate with team members to understand process pain points and deliver practical automation support.

Skills and Qualifications

Essential Skills

  • Strong IT proficiency, particularly with Microsoft Office Suite (Word, Excel, Outlook, Teams).
  • Experience or interest in process automation and digital tools is highly desirable.
  • Excellent communication, planning, and organisational skills.
  • Comfortable working independently and collaboratively within a team.

Desirable Skills

  • Previous experience in an administrative or office support role.
  • Proactive, solution-focused mindset with a willingness to learn and adapt.
