Data Administrator
Job description
THE EMPLOYER IS: DUNDRUM AND CLOUGH SURGERY The Data Administrator will be responsible for undertaking a wide range of data inputting and administrative duties in support of the practice team. Duties can include, but are not limited to, supporting the medical receptionist team with processing of information (electronic and hard copy) in a timely manner and in accordance with current policies. You will also support the practice team with the distribution of information, messages and enquiries, liaising with multidisciplinary team members and external agencies, such as secondary care.
Responsibilities
- Process and prioritise incoming post.
- Scan clinical correspondence onto EMIS using Docman.
- File scanned correspondence/EDT onto patient’s medical records.
- Enter test results, clinical data and vaccination data from clinical correspondence onto EMIS/VMS as directed/required.
- Distribute clinical correspondence as required.
- Troubleshoot any queries or problems concerning scanned correspondence.
- Support the practice team with all general administrative duties.
- Assist with gathering of statistics and information when required.
- Photocopy documentation as required.
- Record and process requests for information using IGPR/EMIS ie SAR’s, insurance reports/solicitors letters, DVLA, ESA, PIP etc.
- Deal with telephone enquiries from patients and insurance companies with discretion and confidentiality and liaise with management regarding fees.
- Adhere to strict guidelines for General Data Protection Regulations (GDPR).
- Ensure new patient records are received electronically and imported onto the clinical system (GP2GP).
- Process patient online applications as required.
- Arrange appointments, tests and follow up appointments of patients.
- Process referrals using CCG as requested.
- Maintain a clean and tidy working area at all times.
Skills and Qualifications
Essential Skills
- Educated to GCSE level or equivalent, with GCSE Maths and English at a C or above.
- Experience of working with the general public.
- Experience of establishing effective office administrative systems.
- Excellent communication skills (written and oral).
- Excellent IT skills.
- Clear, confident and polite telephone manner.
- Competent in the use of Office and Outlook.
- Effective time management (planning & organising).
- Ability to work as part of a team or autonomously.
- Good interpersonal skills.
- Problem solving and analytical skills.
- Ability to follow policy and procedure.
- Sensitive and empathetic in distressing situations.
- Ability to work under pressure.
Desirable Skills
- Experience of working in a health care setting.
- EMIS/Docman/IGPR software user skills.
