Receptionist with Administrative Duties

THE EMPLOYER IS: WEST WELLBEING West Wellbeing is a community-based mental health charity providing counselling, befriending, training, and advocacy services in a safe and welcoming space. We are seeking a friendly, organised, and professional Receptionist to join our team. The successful candidate will be the first point of contact for visitors and clients, helping to ensure that everyone who comes through our doors feels welcomed and supported. They will also help the team with a range of office and administrative tasks to keep our services running smoothly. This role offers valuable experience in administration, reception work, teamwork, and mental health service operations. Full training, mentoring, and supervision will be provided.
Responsibilities
- Welcome clients and visitors in a warm and professional manner.
- Handle incoming calls, emails and general enquiries, directing them to appropriate staff member.
- Make outbound calls to arrange client assessments and appointments.
- Manage appointment bookings via online diary and database, keeping information confidential.
- Maintain a calm, tidy, and welcoming reception area.
- Support the counselling and management team with office administration including filing and maintenance of accurate records.
- Input and update data on online diary, spreadsheets and databases.
- Help prepare letters, reports, and meeting notes.
- Assist with event coordination and room bookings.
- Keep track of office supplies and organise materials.
Skills and Qualifications
Essential Skills
- Minimum 1 years’ experience in a reception or administrative role.
- Excellent communication and interpersonal skills.
- Competent in Microsoft Office (Word, Excel and Outlook).
- Strong organisational skills and multitasking abilities.
- Ability to work with compassion, discretion and maintain confidentiality.
- Willingness to learn and work as part of a supportive team.
Desirable Skills
- Previous experience in a similar role (for example, working in a mental health charity, GP surgery or within the Health Trust).
- Interest in working within a mental health and wellbeing setting.
- Experience with databases or record-keeping systems.
