THE EMPLOYER IS: HILTON BELFAST As an Administrative Assistant, you will play a key supporting role across all departments by delivering efficient, accurate, and professional administrative support. Working closely with heads of department (HODs), operations leaders, and front-line teams, you will ensure smooth internal communication, timely documentation, and compliance with all property standards and procedures. You will be a proactive team player, capable of multitasking in a fast-paced hospitality environment while maintaining exceptional attention to detail and a commitment to service excellence. This role offers structured learning pathways designed to enhance operational excellence, professional capability, and career growth in both administrative and hospitality settings.

Responsibilities

  • Advance Microsoft Office expertise (Excel, PowerPoint, Word) for senior-level outputs.
  • Strengthen time and task management under competing priorities.
  • Build digital filing and document control systems for efficiency and compliance.
  • Enhance data accuracy, reporting, and professional correspondence standards.
  • Develop skills in cross-departmental coordination and workflow optimisation.
  • Gain experience in project tracking, reporting, and performance monitoring.
  • Apply structured problem-solving to improve operational processes.
  • Support meetings, events, and scheduling to enable seamless operations.
  • Learn to draft and update standard operating procedures (SOPs) and policies.
  • Support audit readiness and compliance documentation.
  • Strengthen record management and document quality assurance.
  • Understand how policy translates into practical, day-to-day implementation.
  • Support onboarding and induction processes aligned with HR compliance standards.
  • Coordinate training logistics, track completion, and maintain accurate records.
  • Assist with performance review documentation and follow-up.
  • Build competence in HR systems and secure management of confidential data.
  • Maintain discretion and confidentiality in handling sensitive information.
  • Refine professional communication, attention to detail, and problem-solving agility
  • Demonstrate initiative, integrity, and ethical conduct within corporate and hospitality contexts.
  • Gain exposure to Property Management Systems (PMS) and hospitality operations.
  • Develop executive assistant and event coordination skills.
  • Strengthen customer service excellence and guest relations understanding.

Skills and Qualifications

Essential Skills

  • Office & Computer Skills - Ability to use Microsoft Word, Excel, and email confidently.
  • Organisational Skills - ability to manage tasks, keep documents in order, and meet deadlines.
  • Communication Skills - clear, polite written and verbal communication for internal interactions.
  • Teamwork & Coordination - assisting different departments and helping workflows run smoothly.
  • Attention to Detail - ensuring accuracy in documents, records, and data.
  • Professionalism & Confidentiality - handling information discreetly and behaving responsibly at work

Desirable Skills

  • Experience supporting HR, training coordination, or onboarding activities.
  • Familiarity with drafting or updating basic procedures, checklists, or SOPs.
  • Exposure to hospitality operations or customer service environments.
  • Ability to use or learn administrative systems such as PMS, HRIS, or digital filing tools.
  • Confidence in supporting meetings, events, or diary management tasks.
