Job description

THE EMPLOYER IS: OH YEAH MUSIC CENTRE The receptionist will act as the point of contact between the Oh Yeah Centre and its customers. This role will include typical administrative duties.

Responsibilities

  • Greet and welcome guests once they have arrived. Directing visitors to the appropriate person or office.
  • Answer, screen or forward incoming phone calls, providing basic and accurate information via phone and email correspondence. Staying up to date with the NI Music Exhibition.
  • Ensure the reception area is tidy and presentable, with all necessary material displayed (i.e. brochures). Keeping this area safe, observing all requirements of Health & Safety regulations. Reporting any hazards, accidents or loses to management.
  • Receive, sort and distribute daily mail/deliveries, ensuring security is upheld via visitor log books etc.
  • Keeping inventory and ordering front office supplies when needed.
  • Booking room reservations and updating schedules, calendars and meetings.
  • Perform other clerical duties such as filing, photocopying and transcribing.
  • Attending staff meetings providing regular feedback to line manager and weekly reports to the CEO.

Skills and Qualifications

Essential Skills

  • Grades A-C in Mathematics and English Language.
  • Proficiency in Microsoft Office and general computer literacy.
  • Experience providing high quality customer service.
  • Excellent written and verbal communication skills - with the ability to communicate with stakeholders at all levels.
  • Ability to manage and prioritise a busy workload while working under pressure.
  • Excellent organisational skills with the ability to do effective planning.

Desirable Skills

  • Experience working in a reception, box office or similar environment.
