Personal Assistant (PA) to the Chief Executive
Job description
THE EMPLOYER IS: UNIVERSITY OF ATYPICAL FOR ARTS AND DISABILITY The role of PA to the CEO of University of Atypical for Arts and Disability will provide high level administrative and organisational support to the CEO. This will include managing a busy diary, coordinating meetings, handling correspondence, arranging travel, assisting with governance and board administration. As a disabled-led charity the CEO has disabilities and this role is a key new role to support the CEO and to free up time from administrative tasks so that the CEO can manage high level decision making. The person appointed to the role will be able to work efficiently and as key support to the CEO. The role will benefit from a person who can demonstrate good administrative skills, organisational skills, professionalism, courtesy, discretion and trust. The role will provide the appointed person with opportunities to learn networking and culture sector knowledge, as well as developing their administrative and communication skills, and experience working in the arts and disability sector.
Responsibilities
- Responding to queries and meeting requests.
- Scheduling and coordinating appointments.
- Communicating information about events and meeting requirements to the CEO and on behalf of the CEO to clients.
- Attending meetings with CEO.
- Attend team meetings and provide overviews on behalf of CEO.
- Preparing paperwork for meetings.
- Taking minutes and circulating to required persons.
- Drafting agendas.
- Keeping confidentiality of information.
- Respond to CEO requests for specific information to be sourced, for example seeking availability of professional expertise, identifying and providing information on events or training events that are of interest.
- Ensuring that the CEO is up to date on current relevant developments.
Skills and Qualifications
Essential Skills
- Evidence of strong organisational skills and attention to detail.
- Evidence of ability to communicate accurately with professionalism and reliability on behalf of the CEO.
- Evidence of IT skills including typing and use of word processor.
- Evidence of ability to use email and phone communication.
- Evidence of ability to manage time effectively and manage CEO calendar.
- Evidence of ability to manage multiple tasks and prioritise effectively.
- Evidence of ability to work with others.
- Evidence of ability to respond to others through active listening.
- Evidence of positive approach to problem-solving.
- Evidence of interest in the cultural sector and/or disability arts.
- Evidence of willingness to learn and undertake training as required.
- English - Spoken and written for communication purposes.
Desirable Skills
- Evidence of experience of managing calendar and communication on behalf of another person.
- Evidence of experience of minute taking.
- Evidence of experience of desk research.
- Evidence of knowledge of Google Suite including Google Calendar.
- Evidence of awareness of disability, d/Deaf culture and neurodiversity in the context of the arts.
- Evidence of understanding of barriers and solutions to barriers faced by disabled, d/Deaf and Neurodivergent artists, staff and audiences.
- Clean driving licence and access to car (agreed travel to events would be reimbursed).
