Job description
Community Arts Centre Receptionist. THE EMPLOYER IS: GREATER SHANTALLOW COMMUNITY ARTS The receptionist will often be first point of contact so must be comfortable managing a busy front desk with interruptions and will have a warm, welcoming and inclusive manner, show empathy and sensitivity to cultural, social, economic, ability diversity. Support the smooth daily operation of the front desk; and to assist with administrative, event, and programme-related tasks, in line with GSCA’s mission to engage, inspire, and connect communities through the arts. They will be flexible, with an adaptable attitude (since events and programmes may operate outside standard hours), with a passion for arts, creativity, and community development. The role may require working evenings or weekends (for events, festivals, workshops). Occasional lifting/moving of materials or setting up for classes/events might be required.
Responsibilities
- Customer & Visitor Relations, greet, welcome, and assist visitors, class participants, artists and other stakeholders with warmth and professionalism; Ensure that the front-of-house / reception area is welcoming, clean, safe, and organised.
- Manage general administrative tasks: filing, photocopying, scanning, data entry (participant records, attendance, feedback).
- Respond to phone enquiries, emails, and in-person questions about classes, workshops, room hire, civic festivals, events & outreach programmes.
- Utilise our ClassBiz system, a web-based administrative software package used with tasks like scheduling, registrations, invoicing, online payments, and communication through features like automatic reminders and email/text messaging.
- Maintain the bookings calendar for classes, workshops, outreach programmes, events (including festivals / cultural celebrations).
- Assist with ticketing / registration processes for events or classes when needed.
- Help prepare materials or liaison for facilitators or visiting artists (e.g. handing over supplies, signing in) as required.
- Support promotion efforts: distributing flyers, putting up posters, helping with social media copy or info sheets (if within ability).
- Receive and sort post, deliveries, supplies; ensure internal communication reaches the right staff or department.
- Health, Safety & Accessibility of hazards, and that information about accessibility (e.g. for disabled participants) is clearly available.
- Monitor and report any maintenance or health & safety issues to management.
Skills and Qualifications
Essential Skills
- Excellent interpersonal and communication skills; ability to be friendly, patient, and helpful to diverse groups (including children, older people, people of different cultural backgrounds).
- Good organisational skills: ability to multitask, prioritise, handle several enquiries/bookings during busy periods.
- Basic IT skills: email, Word / Google Docs, spreadsheets, booking systems; ability to learn new software as needed.
- Ability to work independently when required, and as part of a small team.
- Attention to detail.
Desirable Skills
- Experience of working in a community, arts, youth, or cultural organisation.
- Experience with events, ticketing, or room booking systems.
- Understanding or interest in arts programmes (drama, dance, visual, music).
- Experience working with or supporting people from marginalised or disadvantaged backgrounds. Some knowledge of health & wellbeing, social inclusion, or outreach work.
