Administration Support Officer
Job description
THE EMPLOYER IS: YOUTH LINK NI The Administration Support Officer will be responsible for the provision of administrative support services to Youth Link staff and will work as part of a team of staff and volunteers.
Responsibilities
- Liaise closely with programme staff, providing support to ensure the requirements set by internal and external bodies are met.
- Record, monitor & maintain databases and mailing lists. Preparing and issuing routine correspondence to course participants & sessional workers.
- Assist with the booking of rooms and provision of hospitality for training events while ensuring these are kept tidy and resourced.
- General administrative duties to include, preparation of papers and correspondence, word processing, spreadsheets, development and maintenance of filing systems and provision of general clerical assistance.
- Assist with arrangement of meetings, preparing and circulating papers.
- Purchasing general supplies (groceries etc), materials for youth workers and office stationery supplies.
- Assist the Finance Officer with the preparation of supplier and customer invoices and payments and the maintenance and management of all other accounting records.
- Assist with applications to funders, submit statistical and other returns to stakeholders/government bodies and preparation of financial returns to funders and facilitate verification and audit checks.
- Other duties such as answering and transfer telephone calls, handling enquiries, welcoming visitors, and accepting deliveries.
Skills and Qualifications
Essential Skills
- All training will be provided.
Desirable Skills
- Reception experience - answering calls and greeting guests.
- Administration experience - Microsoft Word and Excel.
- Previous experience in the areas listed within the job description.

The Employer is: YOUTH LINK NI JobStart Opportunity - Working Hours Information. Standard Hours: up to 25 hours per week. Flexible/Reduced Hours: May be available upon approval by a Work Coach. Additional Hours: The employer may offer extra hours depending on availability. This should be discussed directly with the employer before starting employment.
