Administration Assistant
Job description
THE EMPLOYER IS: RAINBOW CHILD AND FAMILY CENTRE To work along side the team to help maintain the administrative procedures throughout the centre to a high standard. You will be supporting the work of the Finance Administrator by maintaining administrative procedures. This role will include general clerical and administrative duties including helping to maintain records, filing, postage, responding to correspondence and IT and Social Media support. All posts are subject to AccessNI and Social Services vetting and positive references.
Responsibilities
- Assist with general administration duties in the office.
- Answer calls in a professional manner, dealing with enquiries, accurately recording and relaying telephone messages to necessary departments.
- Photocopy documents.
- Print, laminate and help with general displays for playrooms.
- Deal with confidential information.
- Maintain organised filing systems and office supplies.
- Enter data on to database or Microsoft Office.
- Help maintain a social media presence for the organisation.
- Provide excellent customer service to our new and existing clients.
- Work effectively as part of a team.
- Any other administrative tasks requested by management.
Skills and Qualifications
Essential Skills
- GCSEs (or equivalent) in English and Maths at Grade C / Level 4 or above.
- Good communication skills
Desirable Skills
- Strong attention to detail and accuracy.
- Confident using Microsoft Office (Word, Excel, Outlook).
- Experience with invoicing or basic bookkeeping (advantageous).
