Project Administrator to Project Managers


Job description

We are looking for an Executive Administration Executive to work directly with our Project Managers. This role requires someone who is not only excellent at administration and coordination but also assertive, and able to keep fast-moving projects and the people running them on track. Provide direct administrative support to Project Managers, including diary management, meeting coordination, project updates and delivery times.

Responsibilities

  • Provide direct administrative support to Project Managers, including diary management, meeting coordination, project updates and delivery times.
  • Manage Microsoft Outlook calendars and MS Teams channels, ensuring schedules and communications are up to date.
  • Maintain detailed project documentation, reports, and status trackers with accuracy and attention to deadlines.
  • Coordinate project meetings: preparing agendas, taking minutes, and following up on action items.
  • Update documents on to files.
  • Act as a central point of contact between Project Managers and other team members, ensuring smooth communication and timely responses.
  • Support budget tracking, expense reporting, and procurement activities.
  • Proactively monitor tasks, deadlines, and project deliverables, flagging issues and chasing where required.
  • Keep Project Managers organised and accountable, providing that extra push to keep momentum going.

Skills and Qualifications

Essential Skills

  • 3- 4 years administrative support in a fast-paced work environment, meeting deadlines and chasing up the team.
  • Strong organisational and administrative skills, with proven experience in a similar role.
  • Excellent attention to detail and ability to meet deadlines.
  • Highly proficient in Microsoft Office, particularly Outlook, Teams, Word, Excel, and PowerPoint.
  • Confident communicator with strong written and verbal skills. Able to work effectively in a fast-paced team environment.
  • Self-motivated with the ability to take initiative and problem-solve. Experience supporting multiple managers or working in a project-led environment.
  • Familiarity with project management tools and processes a bonus but not essential. A natural organiser who thrives on structure and clarity.
  • Detail-driven with a focus on accuracy and follow-through.

Desirable Skills

  • Experience in a fast paced work environment.
