THE EMPLOYER IS: ARDMONAGH COMMUNITY & FAMILY GROUP LTD We are seeking a reliable, friendly and well-presented Receptionist to join our team. The Receptionist will be the first point of contact for visitors and clients, both in person and over the phone. The ideal candidate will have excellent communication skills, a professional demeanour, and the ability to multitask effectively in a fast-paced health & social care environment. They will also undertake office and administration duties in line with the operations. All staff will be subject to and completed/apply for Access NI checks.

Responsibilities

  • Ensure staff and visitors sign appropriate books.
  • Make and receive telephone calls, sending and receiving emails.
  • Redirect all messages as appropriate ensuring that all information received has been communicated and dealt with promptly.
  • Ensure that the reception is covered at all times with other members of the admin team as necessary.
  • Ensure that the reception area is left secure and tidy at the end of the day.
  • Schedule and oversee appointments and room bookings as needed.
  • At direction of the Office Manager, undertake office, clerical and administration tasks. These may include ordering and maintaining resources, answering phones, photocopying, typing letters and other documents, filing and distribution information.
  • Support the Office Manager in a range of administrative duties including the preparation of necessary documents which will include dealing with confidential and sensitive material.
  • Manage post (in/out). Distribute incoming post to appropriate staff.
  • A shared responsibility with all staff to ensure the health and safety of all members of the organisation.
  • Be aware of and comply with policies and procedures relating to child protection, health and safety, security, confidentiality and data protection - report all concerns to the appropriate person.
  • Attend team and staff meetings and training where required.
  • Any other duties that the Office Manager may reasonably direct from time to time which are considered to be commensurate with the grade of the job.
  • Staff will be expected to accept reasonable flexibility in working arrangements and the allocation of duties to reflect changing roles and responsibilities.
  • This job description may be amended at any time following discussion between line manager and the member of staff, and will be reviewed regularly.

Skills and Qualifications

Essential Skills

  • Maths and English, GCSE, grade C or above.
  • Proficiency in IT systems such as Microsoft Office Suite (Word, Excel, Outlook).
  • Interest in developing social media platforms for business use.
  • Excellent communication skills both written and verbal.
  • Strong organisational and multitasking abilities.
  • Customer service-oriented with a welcoming and helpful demeanour with an ability to maintain a positive attitude and professionalism under pressure.
  • Willingness to undertake necessary training.

Desirable Skills

  • Previous experience working in a Health & Social environment.
