THE EMPLOYER IS: WINDSOR WOMEN'S CENTRE The Support Officer provides welcoming, practical support to ensure the smooth day-to-day running of Windsor Women’s Centre. Duties include working on reception, meeting and greeting women and visitors, directing people to the appropriate services or rooms, and answering telephone enquiries. The role involves receiving and organising donations of clothes and toys, carrying out general administrative tasks such as photocopying, and creating posters and displays. The Support Officer helps maintain tidy, safe and welcoming central areas and rooms, and prepares tea, coffee and refreshments for classes, workshops and meetings. This role will be subject to an enhanced Access NI Disclosure check as it involves working closely alongside children’s services and with vulnerable adults.
Responsibilities
- Reception and Front-of-House: Welcome visitors in a professional, friendly and sensitive manner, manage reception duties, and act as a first point of contact for service users and visitors.
- Communication: Communicating clearly and respectfully with a diverse range of people, including answering telephone enquiries, giving information, and directing individuals to appropriate services or rooms.
- Administrative and Organisation: Carrying out administrative tasks such as photocopying, basic record-keeping, and organising resources, while managing time effectively in a busy environment.
- Customer Service and Support: Provide supportive, person-centred assistance, including responding appropriately to enquiries, maintaining confidentiality, and helping to create a welcoming and safe space.
- Health, Safety and Workplace Awareness: Maintaining tidy, safe communal areas, following health and safety procedures, and supporting a clean, well-organised working environment.
- Teamwork and Workplace Collaboration: working as part of a team, supporting colleagues, communicating effectively with staff and volunteers, and contributing positively to the daily running of the Centre.
Skills and Qualifications
Essential Skills
- Computer literate; Good knowledge of MS Office (Word, Excel, PowerPoint, Outlook, Internet).
- Proven organisational and administrative skills: Ability to demonstrate experience of planning, organising, monitoring and reporting.
- Ability to use information technology as a communication and resource tool and service own work requirements.
- Excellent oral and written communication.
- A commitment to the ethos and values of Windsor Women’s Centre.
- Able to manage time effectively.
- Able to prioritise tasks and respond to urgent requests.
- Willingness to work flexibly, as required by the Centre’s needs.
- Ability to maintain confidentiality and professional boundaries.
Desirable Skills
- Business Administration experience.
- Database Management.
- Experience of use of social media.
- Customer service experience.
