Responsibilities

  • Responsible for the provision of a wide-ranging, professional and confidential administrative support to the staff of the Major Projects Team with regard to all aspects of the service area.
  • Provide a comprehensive and confidential Business Support service across all functions within the Major Projects Team.
  • Process emails/telephone calls, enquiries and requests, taking appropriate actions as required.
  • Deal with queries from public and community groups in respect of areas of service delivery.
  • Assist with the preparation of presentations, agendas, and other project materials.
  • Attend meetings and functions in an administrative capacity to record and issue minutes.
  • Assist with the organisation of training sessions, meetings and conferences relating to the work of the Major Projects Team, ensuring that the appropriate equipment is available as required,
  • Undertake administration of invoices to include raising purchase orders, coding and payment in accordance with agreed timescales and procedures.
  • Assist with the production of marketing and promotional material.

Skills and Qualifications

Essential Skills

  • Applicants must possess a minimum of 5 GCSE passes to include Maths and English language (grade C or above) or equivalent qualifications to demonstrate literacy and numeracy.
  • 1 year's relevant Business Support experience in an office environment (3 years if criteria one isn't met).
  • Effective use of computerised information management systems.
  • A qualification that demonstrates competent word processing/database skills, and the ability to carry out broader computing tasks using other software packages.
  • Alternatively, if no qualification is held, applicants must have at least one year’s experience using Microsoft Office and related applications, particularly Word and Excel.
