Therapeutic Wellbeing Administrator
Job description
THE EMPLOYER IS: MINDWISE The Therapeutic Wellbeing Administrator will provide administration support to the Talking Therapies & WorkWise Team, liaising with Associates, staff and other key stakeholders. This is a key administrative support role supporting the work of the Therapeutic Wellbeing Portfolio. In discharging their roles, all MindWise staff are expected to display our values of, passion, respect, empathy and openness and transparency to innovate and deliver together. The MindWise Competency Framework outlines the behaviours that are essential to effective performance. The Competencies relevant to these roles are set out for everyone and in Level 1 of the Framework.
Responsibilities
- Act as the first point of contact for internal and external enquiries for Talking Therapies and WorkWise, responding to service queries from associates, corporate organisations, trust contacts, and the wider public.
- Collate and record information on participant and client attendances in both services. Supporting face to face delivery including sourcing suitable venues in relevant locations and overseeing sessions at MindWise Head Office.
- Promoting and delivering effective collaborative working and a partnership approach to service delivery working across boundaries to support business goals. Communicate effectively respecting the rights and beliefs of colleagues, clients, and partner
- Support the development of effective administrative processes for management of both services ensuring smooth day-to-day operations, clear record-keeping, and effective coordination across both services.
- Act as a role model and advocate of MindWise, living the values and behaviours of MindWise in all dealings with staff, clients and partners. Actively promoting both services through events and networking opportunities.
- Proactively participate in effective and continuous development processes, taking responsibility for own 1:1 performance development meetings and competency framework.
- Actively contributes to a culture of constant feedback and continuous learning to improve organizational capability and performance. Assist with the evaluation of services by generating relevant surveys and reports on a regular basis.
- Participate in effective and personal development and continuous learning, keeping knowledge and skills up to date and contributing to the future plans and transformation of MindWise.
- Support the Coordinator with assigning client referrals and training workshops to Associates based on their capacity (weekly).
- Record and encrypt client referrals from Trust referring agents (monthly).
- Support service and project administration through the effective use of digital systems and processes, including ServiceWise, CoreNet and Zanda platforms. Taking minutes of internal team meetings and associate meetings.
- Develop, maintain and keep up to date the therapeutic wellbeing filing systems including electronic filing. Embrace innovative methods and ICT technologies to improve service delivery.
- Maintain confidentially and good professional boundaries, ensure personal data is handled in line with GPDR policy and procedure.
- Work in accordance with MindWise policies, codes and procedures, Quality and Statutory Regulations and those of external regulators and funder requirements.
- Speak up and share views and information to promote good practice and forward thinking, embracing change and different ways of working to ensure the future sustainability of the service.
Skills and Qualifications
Essential Skills
- Educated to GCSE level (grades A-C) to include Mathematics and English language (or equivalent).
- 6 months customer service experience.
- 6 months experience in general administration.
- Experience of working in a team.
- Experience of maintaining hardcopy and electronic filing systems as well as Microsoft Office.
- Able to demonstrate excellent written communication skills.
- Ability to demonstrate alignment with MindWise’s core values of Passion, Respect, Empathy, Togetherness, Openness & Transparency.
Desirable Skills
- NVQ Business & Administration Level 2 (or equivalent).
- 1 year’s experience of general administration.
- Experience in Mental Health Support (in a voluntary or paid capacity).
