As a Vendor Relations & Events Administration Assistant, you will become a key link within our community of vendors and traders. These vendors include food producers, artists, makers, and independent businesses who take part in markets and events. Your role will be to support them throughout their journey, from application and onboarding, to event preparation and delivery, helping them feel welcomed, informed, and supported. The role is primarily administrative and customer-facing and is designed as a supported, entry-level position under the JobStart Scheme. You will work closely with the Managing Director and events team and will receive full training on all systems and processes. This is an ideal role for someone interested in the events, food, arts, or tourism sectors, or who enjoys supporting people and helping small businesses succeed. Working Pattern & Location - The role is hybrid, combining remote (home-based) working with in-person working. - During the initial induction period, you will attend a Belfast city centre workspace two days per week. - Flexibility in working patterns may be offered following a successful introductory period. - You will have opportunities to visit and work at event sites, allowing you to see first-hand how events come together and how vendors operate on the ground. - Occasional evening or weekend attendance at event locations may be required, by prior agreement. Tools, Training & Support - All necessary equipment will be provided, including a laptop and access to digital systems. - You will be trained on CRM, ticketing, booking, and payment systems. - Ongoing mentoring, supervision, and support will be provided throughout the role.
Responsibilities
- Acting as a friendly and professional point of contact for vendors, helping to build positive relationships within our community of traders and creatives.
- Supporting vendors through the application process and assisting with onboarding once selected.
- Communicating clearly with vendors by email and online platforms, answering questions and providing guidance.
- Sharing event information such as schedules, site maps, joining instructions, and important updates.
- Assisting with the selection process by supporting the review of applications and communicating outcomes in a respectful and supportive way.
- Helping to administer vendor bookings, invoices, payments, and refund requests under guidance.
- Keeping digital records accurate and up to date using CRM, ticketing, and payment systems.
- Supporting the Managing Director and events team with vendor-related administration and coordination.
- Attending event sites when required to support vendors and gain an understanding of live event delivery.
- All responsibilities will be supported through training, mentoring, and supervision, with opportunities to take on more responsibility as confidence and skills develop.
Skills and Qualifications
Essential Skills
- Basic computer literacy, with confidence using a computer or laptop for everyday tasks.
- Some experience using email, including sending, receiving, and responding to messages.
- Ability to use word processing software (such as Microsoft Word or Google Docs) to write or edit simple documents.
- Strong spoken and written English skills, with the ability to communicate information clearly and accurately.
- Ability to follow written instructions and processes and apply them in practice.
- Good organisational skills and attention to detail when handling information.
- Willingness to learn new digital systems, tools, and ways of working, with training provided.
- Ability to work independently on tasks, while also contributing positively as part of a team.
- No previous events or office experience is required. Full training and ongoing support will be provided.
Desirable Skills
- Comfortable multitasking and prioritising work, with the ability to manage emails, records, and ongoing tasks at the same time while remaining organised and accurate.
- Intuitive with computers and technology, with an interest in learning how digital systems work and how to use them efficiently.
- Interest or enthusiasm for food, arts, culture, tourism, or events, particularly supporting independent traders, makers, and small businesses.
- Basic awareness of food safety requirements or documentation (such as allergen information or hygiene principles), or an interest in learning about these areas.
- Previous experience in an office, administrative, or customer service role (helpful but not required).
- Confidence communicating with a wide range of people, including small business owners, creatives, and suppliers.
- Ability to review information and spot issues, such as missing details on applications, incomplete documentation, or inconsistencies in records.
- Comfort supporting simple financial administration, such as invoices, payments, or refund requests, with guidance.
- Good judgement and a calm, professional approach when dealing with questions, changes, or problems.
- Organised and proactive, with the ability to follow tasks through to completion.
- Creative or practical mindset, with an interest in how events and projects come together behind the scenes.
- Willingness to take ownership of tasks and build confidence over time as skills develop.
- Full clean driving licence (desirable but not essential).
