Administrative Assistant

THE EMPLOYER IS: KEYSTONE BUILDING SURVEYING Keystone Building Surveys is a leading provider of professional property surveying services across Northern Ireland. We pride ourselves on accuracy, professionalism, and exceptional customer service. We are looking for a highly motivated Administrative Assistant to join our team and support the smooth operation of our office and survey teams. The role will include liaising with clients, providing fee estimates, report writing and general administration duties. Responsibilities
- Responding to customer emails promptly and professionally.
- Liaising with clients and estate agents via phone and email.
- Typing and preparing detailed, accurate reports from audio recordings within a 24-48 hour turnaround.
- Planning and organising surveyors’ journeys efficiently.
- Preparing formal letters and reports as required.
- Performing general administrative tasks and maintaining office records.
Skills and Qualifications
Essential Skills
- Good geographical knowledge of Northern Ireland.
- Proficient in Microsoft Office applications, including Outlook, Excel, and Word.
- Excellent communication skills, both written and verbal.
- Accurate typing skills (with experience transcribing audio to text).
- Professional telephone manner.
- Driving licence.
Desirable Skills
- Experience in the property environment.
- Experience in preparing formal letters and reports.
- Experience with Microsoft Outlook and Excel.
- Strong interest in research and information gathering.
