THE EMPLOYER IS: PLACE OF VICTORY FOR ALL NATIONS (PVN) Place of Victory for All Nations is a church based in Belfast city centre, running various community projects from its community base in Bradbury Hub. Our community services are provided to people of all faiths and no faith. The services we provide include: A weekly foodbank. A youth club. A free Saturday school. The Project & Admin Officer will provide administrative and logistical support for the organisation and members of the volunteer workforce to ensure the smooth running of the various community projects and the office/community hub. They will work closely with the Program Manager, Project Coordinators and Finance Officer. Due to the nature and scheduling of our community projects, the role requires a flexible approach as hours may vary occasionally depending on project needs and deadlines. Saturday work is required during term time to support with our Saturday school project. There will be a corresponding day off in the week, typically Mondays. There will also be the opportunity for working from home 1 or 2 days a week, where appropriate. The candidate will be provided with training on project documentation and processes and bookkeeping software, which will be required for the role. Access NI checks will be carried out as some of the organisation’s work involves young people.
Responsibilities
- Acting as a point of contact for members, service users or suppliers via email, over the phone or in person. Welcoming visitors to the building and showing them to meetings and classes.
- Processing invoices, tracking receipts, inputting expenses and other basic bookkeeping tasks. Organising filing systems and updating office databases.
- Arranging travel plans and hotel stays for staff and volunteers.
- Ordering new office equipment, stationery and printer refills and picking up supplies.
- Responding to questions and requests for information.
- Updating calendars/rotas and sending reminders to staff and volunteers.
- Coordinating meetings, taking minutes and monitoring action points.
- Assisting with event planning and logistics.
- Assisting the project co-ordinators with project tasks.
- Assisting the Program Manager and project teams with reports.
- Assisting senior leadership with adhoc tasks.
- Assisting with registration and enrolment for courses, classes and services offered.
- Assisting with social media content creation and management.
- Adhoc administrative and logistical support.
Skills and Qualifications
Essential Skills
- Proficient in use of Microsoft Word and Excel or willing to learn.
- Good written and verbal communication skills.
- Good organisational skills.
- Flexibility and adaptability.
- Time management.
- Ability to use initiative.
Desirable Skills
- Video recording and editing skills for social media content creation.
- Experience in use of social media platforms like YouTube and Instagram.
- Experience of working or volunteering in a youth setting.
