THE EMPLOYER IS: GROSVENOR COMMUNITY CENTRE / RODEN STREET COMMUNITY DEVELOPMENT This role will be located in Grosvenor Community Centre, a busy community, leisure, health and sports centre. The organisational ethos is to improve quality of life and contribute to the overall wellbeing and advancement of Belfast. The role of Bookings and Administrative Officer will include overseeing the booking system for a 3g Playing field, indoor multi use hall, wellness programming and circuit classes/group based physical activity programming. This role will entail engagement with customers, groups and training providers. The position will entail co-ordination of scheduling via a be spoke booking system (full training will be provided). This position will include contact with stakeholders, regularised online updates as to services and facilities activities and contact in the event of circumstances related to weather or holiday closure. The position will also require the postholder to generate survey data, measure attendance rates, undertake sessional feedback and gather customer views on the wider centre and facility experience. The post holder will provide a friendly, helpful and knowledgeable first experience to individuals and groups making a booking at the facility including for physical activity or health programming, environmental programming at the community garden or football use.
Responsibilities
- Recording booking requests in real time, leading to a booking agreement or inclusion on the waiting list.
- Managing entry onto the booking system, including registration forms, insurance indemnity, contact details and schedule.
- Contact with customer (individual or group) to outline use details (entry points, equipment, cost and seasonal details).
- Management of the booking system to ensure all data and information is up to date (including change of team name booking or contact details).
- Evaluation form completion to be undertaken across all bookings to measure customer satisfaction.
- Measurement of all attendances to ensure maximum use at all times (including out of hours and weekends).
- Management of online presence related to bookings, facilities and services including ensuring shared branding and content.
- Supporting ‘first use’ following an online booking or telephone booking by showing customer the facility and outlining any essential information.
- Ensuring all sign offs are undertaken on the booking system before a booking can proceed.
- Key holding duties may be required.
- Undertaking any training as and where required.
- Participating in staff development and strategic planning activities.
- Undertake administrative duties using ICT - including excel and word, training will be provided.
- Undertake booking duties using organisation booking system - training will be provided.

- Be able to ensure that all user groups to the facility are greeted and supported to their area of choice.
