THE EMPLOYER IS: GROSVENOR COMMUNITY CENTRE / RODEN STREET COMMUNITY DEVELOPMENT This role will be located in Grosvenor Community Centre, a busy community, leisure, health and sports centre. The organisational ethos is to improve quality of life and contribute to the overall wellbeing and advancement of Belfast. The role of Administrative and Receptionist Officer is a crucial front of house role and will provide a positive experience and first meeting for user groups and individuals. The role will contribute to the organisations ethos of providing top quality services and experiences for all user groups and individuals. The position entails operating a busy front of house reception desk. The post holder will provide a helpful and knowledgeable first experience to individuals and groups using the community centre. The role will involve meeting and greeting, directing users to the appropriate areas and providing information, as well as managing telephone and online queries. Further to this the role will include administrative and booking system duties, (with full training provided). The organisation is busy and provides a diverse range of services from early years to health and wellbeing. The post holder will be responsible for supporting a wide range of people, including families and older persons. The post holder will be responsible for ensuring all persons are greeted in a welcoming and helpful manner which compliments the organisational ethos of improving quality of life, by provision of top quality services, programmes, facilities and experience.
Responsibilities
- Providing front of house meet and greet duties to user groups and individuals.
- Logging incoming mail and directing incoming mail to appropriate team members.
- Answering telephone queries via a switchboard system (training provided).
- Assisting in monitoring of online queries via existing platforms.
- Logging telephone queries and ensuring communication of all queries.
- Directing new and existing user groups and individuals to programme spaces.
- Supporting with front of house queries.
- Updating booking systems for centre classes and facilities (training provided).
- Undertaking administrative duties associated to front of house (training provided).
- Ensuring all health and safety is supported at front of house.
- Supporting overall building health and safety.
- Supporting opening of facility spaces where required (including outdoor playing field).
- Undertaking training as and where required.
- Engaging in team development (group based) activities.
- Key holding duties may be required.
- Undertaking any training as and where required.
- Participating in staff development and strategic planning activities.
- Undertake administrative duties using ICT including excel and word, training will be provided.
- Undertake booking duties using organisation booking system - training will be provided.

Flexible/Reduced Hours: May be available upon approval by a Work Coach. Additional Hours: The employer may offer extra hours depending on availability.
