Job description
We are looking for a Construction /Engineering Administrator to work directly with our Project Managers. This role requires someone who is not only excellent at administration and coordination but also assertive, and able to keep fast-moving projects and the people running them on track. Provide direct administrative support to Project Managers, including diary management, meeting coordination, project updates and delivery times.
Responsibilities
- Provide direct administrative support to Project Managers, including diary management, meeting coordination, project updates and delivery times.
- Manage Microsoft Outlook calendars and MS Teams channels, ensuring schedules and communications are up to date.
- Maintain detailed project documentation, reports, and status trackers with accuracy and attention to deadlines.
- Coordinate project meetings: preparing agendas, taking minutes, and following up on action items.
- Update documents on to files.
- Act as a central point of contact between Project Managers and other team members, ensuring smooth communication and timely responses.
- Support budget tracking, expense reporting, and procurement activities.
- Proactively monitor tasks, deadlines, and project deliverables, flagging issues and chasing where required.
- Keep Project Managers organised and accountable, providing that extra push to keep momentum going.
Skills and Qualifications
Essential Skills
- 3- 4 years administrative support in a fast-paced work environment, meeting deadlines and chasing up the team.
- Strong organisational and administrative skills, with proven experience in a similar role.
- Excellent attention to detail and ability to meet deadlines.
- Highly proficient in Microsoft Office, particularly Outlook, Teams, Word, Excel, and PowerPoint.
- Confident communicator with strong written and verbal skills. Able to work effectively in a fast-paced team environment.
- Experience supporting multiple managers or working in a project-led environment.
- Detail-driven with a focus on accuracy and follow-through.
Desirable Skills
- Experience in a fast paced work environment.
