Trainee Admin Assistant

THE EMPLOYER IS: HALDANE FISHER GROUP The Trainee Admin Assistant will provide essential administrative support to our offices and operational teams. This varied role involves managing information, maintaining accurate records, coordinating activities, and ensuring smooth day-to-day operations. The trainee will develop proficiency in office systems and procedures, learn how different departments work together, and gain valuable experience in professional business administration within a growing organisation. The successful candidate will receive a comprehensive induction along with on-the-job training, supported by regular supervision and mentoring from experienced team members. They will be trained in company systems, procedures, and policies, as well as in a range of digital marketing tools and platforms. Throughout the programme, they will develop key occupational skills relevant to the role and have opportunities to gain workplace qualifications and valuable practical experience. Upon successful completion of the programme, there may also be potential for permanent employment.
Responsibilities
- Accurately inputting information into company databases and systems, maintaining up-to-date records, updating customer and supplier information, checking data for errors, and ensuring all records are complete.
- Creating, formatting, and proofreading documents such as letters, reports, and presentations; organising and filing documents using our filing systems; scanning and archiving paperwork; managing document version control.
- Managing diaries and scheduling meetings, booking rooms and resources, coordinating appointments between different departments/external parties, sending meeting invitations and reminders, and helping to organise events.
- Using Microsoft Office Suite for daily tasks, operating office equipment such as printers and scanners, answering phones professionally, managing email correspondence, and learning to use company-specific software systems.
Skills and Qualifications
Essential Skills
- Willingness to learn and develop new skills.
- Good communication skills and ability to work in a team.
- Basic IT skills (ability to use computers, email, and learn new systems).
- Ability to follow instructions and work independently when required.
Desirable Skills
- Relevant work experience.
- Previous office or administrative experience.
